Job summary

Nakhoda Transport Sdn Bhd is seeking an Account Executive focused on Billing, Payments and Collections in Selangor. The role requires issuing invoices, reconciling charges, resolving billing queries, and maintaining complete financial records.

The candidate will also handle supplier invoice verification, payment processing, and weekly receivable follow-ups, ensuring accurate postings and timely collections. Prior billing/AR exposure in logistics is preferred.

Qualifications

• 2+ years in billing, accounts payable/receivable or credit control.
• Experience in logistics or freight forwarding is an advantage.
• Proficient in Microsoft Excel and comfortable using accounting or logistics software.
• Accurate, organised and able to meet deadlines.
• Able to communicate professionally and follow up on overdue payments.

Responsibilities

• Prepare and issue customer invoices accurately and promptly based on quotations, job records and supporting documents.
• Check charges with the operations team to ensure all applicable charges are billed correctly.
• Resolve billing queries and prepare credit or debit notes subject to management approval.
• Maintain complete invoices and supporting records.
• Verify supplier invoices against agreed rates and supporting documents.
• Check for duplicate charges and resolve discrepancies before processing payments.
• Reconcile supplier statements and prepare payment schedules.
• Prepare and submit payment requests for management approval.
• Process approved payments, send payment advice and update supplier payment records.
• Send statements of account and follow up on outstanding and overdue invoices.
• Track customers' promised payment dates and follow up accordingly.
• Coordinate with customers and the operations team to resolve disputes affecting payment.
• Maintain an updated receivables ageing report and collection follow-up records.
• Provide weekly collection updates and express overdue accounts to management.
• Verify customer receipts against bank records and payment advice.
• Record payments in the company system and allocate them against the correct outstanding invoices.
• Confirm with customers which invoices their payments cover when payment details are unclear.
• Identify and follow up on partial payments, short payments, overpayments and unidentified receipts.
• Ensure customer balances and statements accurately reflect payments received and invoices still outstanding.
