Job summary

IO Setia Ventures seeks a capable administrator to support the MD with business development, tender administration and client relations in Malaysia. Responsibilities include monitoring licenses, registrations, and coordinating with the BD team to pursue opportunities.

The role requires strong communication, coordination, and independent work, with attention to confidential matters and tight deadlines. Prior experience in oil & gas or related fields is advantageous.

Qualifications

• Degree in Business Administration, Engineering, Marketing or related field.
• Experience in Business Development, Tender/Contract Administration, Oil & Gas or Personal Assistant roles is an advantage.
• Strong communication, coordination, negotiation and interpersonal skills.
• Organised, proactive, detail-oriented and able to handle confidential matters.
• Able to work independently and meet multiple deadlines.

Responsibilities

• Monitor and manage PETRONAS License Renewal (PLMS) for all companies.
• Monitor PETRONAS SMART by GEP for market surveys, pre-qualification, RFIs, RFQs, ITBs and tender opportunities.
• Register with new clients and maintain/update company information in client portals.
• Follow up on upcoming tenders, RFQs and coordinate with the Business Development (BD) Team.
• Manage renewal and application of CIDB, NIOSH, MOF, SPAN, TNB and other relevant licenses/certifications.
• Coordinate company registrations, certificates and statutory requirements with relevant authorities.
• Assist the MD in business development, tender and client-related matters.
• Manage MD’s personal files, documents and confidential matters including credit card payments, summons, insurance, certificates and memberships.
• Arrange and coordinate MD’s annual medical check-ups at IJN/KPJ.
• Manage renewal of MD’s BEM and other professional association memberships.
• Prepare and submit MD’s monthly expenses claims under IOSV.
• Perform other duties and administrative support as assigned by the MD.
