Job summary

IO Setia Ventures in Malaysia seeks a Business Development Executive cum PA to MD to support the managing director, coordinate tenders, and manage licenses.

You will monitor PETRONAS licenses, handle registrations, liaise with the BD team, and oversee confidential files and personal admin for the MD, including medical checkups and memberships. The role requires strong organizational skills, attention to detail, and the ability to work independently under tight deadlines.

Qualifications

• Degree in Business Administration, Engineering, Marketing or related field.
• Relevant experience in Business Development, Tender/Contract Administration, Oil & Gas or Personal Assistant roles is an advantage.
• Good knowledge of PETRONAS, CIDB and government/client registration processes is preferred.
• Strong communication, coordination, negotiation and interpersonal skills.
• Organised, proactive, detail-oriented and able to handle confidential matters.
• Able to work independently and manage multiple deadlines.

Responsibilities

• Monitor PETRONAS License Renewal (PLMS) for all companies.
• Monitor PETRONAS SMART by GEP for market surveys, pre-qualification, RFIs, RFQs, ITBs and tender opportunities.
• Monitor, manage, apply for additions and renew PETRONAS SWEC Codes in PLMS for PETRONAS and relevant companies.
• Monitor and follow up on TNB AMI Contracts.
• Register with new clients and maintain/update company information in relevant client portals.
• Follow up on upcoming tenders and RFQs and coordinate with the BD Team.
• Manage the renewal and application of CIDB, NIOSH, MOF, SPAN, TNB and other relevant licenses and certifications.
• Coordinate company registrations, certificates and statutory requirements with relevant authorities.
• Assist the MD in business development, tender and client-related matters.
• Manage the MD’s personal files, documents and confidential matters.
• Handle the MD’s personal administrative matters, including credit card payments, summons, insurance, certificates and memberships.
• Arrange and coordinate the MD’s annual medical check-ups at IJN/KPJ.
• Manage the renewal of the MD’s BEM and other professional association memberships.
• Prepare and submit the MD’s monthly expense claims under IOSV.
• Perform other duties and administrative support as assigned by the MD.
