Job summary

KPJ Healthcare Berhad seeks a diligent IMS Document Controller to coordinate hospital services, manage controlled documents, and support quality, risk, and compliance activities. You will assist in audits, prepare reports, and help maintain the Integrated Management System across our network.

The role involves collaboration with Heads of Services and Unit Managers, organizing training logistics, and ensuring timely submission of policy reviews while safeguarding confidentiality of records.

Responsibilities

  • Liaise and coordinate with all Services in the Hospital to achieve quality standards.
  • Perform IMS Document Controller (DC) responsibilities, including proper documentation, circulation of new documents, and recall of obsolete documents (internal and external).
  • Assist in maintaining readiness of the hospital’s Integrated Management System (IMS) activities.
  • Ensure proper archiving and retrieval of controlled documents and take charge of document control in the absence of the Head of Quality & Risk.
  • Coordinate with Heads of Services (HOS) and Unit Managers (UM) to ensure timely review and submission of policy.
  • Assist the Head of Quality & Risk in preparation of audit evidence files, checklists, and documentation for internal audits and IMS audits.
  • Participate in internal and external audits, providing administrative and clerical support as required.
  • Assist in the preparation of slides, reports, and minutes of meeting (MOM) for Quality & Risk Committee and related hospital meetings.
  • Follow up with departments on action items arising from Quality & Risk meetings.
  • Assist in coordinating incident reporting, follow-up with departments, and preparation of incident summaries for management review.
  • Compile incident statistics and risk data.
  • Involvement in Risk Management exercises, including Incident Reporting and Root Cause Analysis (RCA).
  • Assist in training logistics, including venue arrangement, attendance tracking, and circulation of training materials.
  • Assist in the preparation and submission of periodic reports to Management and HQ within required deadlines.
  • Support activities related to compliance and integrity, including Anti-Bribery Management System (ABMS) training, awareness, and documentation.
  • Assist in Business Continuity Management (BCM) documentation, exercises, and follow-ups.
  • Ensure compliance to Baby Friendly Hospital Initiative (BFHI) policy and Patient Safety Goals.
  • Ensure confidentiality and accuracy in handling quality, risk, and compliance data.
  • Provide clerical and administrative support to the Head of Quality & Risk.
  • Other Duties: Perform any other responsibilities as directed by the Head of Quality & Risk or hospital management.
