The Malaysian Investment Banking Association (MIBA) seeks a proactive Assistant Manager to oversee secretariat administration and operational support. The Malaysian Investment Banking Association (MIBA) is the industry association representing investment banks in Malaysia. MIBA works closely with regulators, policymakers and other industry stakeholders to promote the development of the capital market through policy advocacy, industry engagement and strategic collaboration.
We are seeking a dynamic, proactive and results-oriented individual to join MIBA as Assistant Manager.
Reporting to Management, the role is responsible for overseeing and supporting MIBA’s secretariat administration, operational support and resource management functions, ensuring the efficient day-to-day operations of the Association.
The successful candidate should possess sound judgement, initiative and the ability to manage a diverse portfolio of responsibilities. The role requires strong analytical, organisational and communication skills, together with the ability to manage multiple priorities and deliver high-quality outcomes within tight deadlines.
Liaise with external accountants, auditors, banks, and other professionals advisers on finacial reporting, audits, banking matters and statutory compliance.
Coordinate and monitor payments and reimbursements for all MIBA expenses.
Monitor MIBA’s cash flow and funds management.
Liaise with the landlord's management on tenancy matters, landlord obligations and related administrative matters.
Maintain accurate records of staff benefits, leave entitlements and personnel information.
Maintain and update records of Members, including membership registers, nominated representatives and committee appointments.
Facilitate annual statutory filings and other regulatory reporting requirements relating to the MIBA’s business.
Oversee office facilities and equipment upkeep, inventory supply, and liaising with service providers, suppliers, and contractors.
Maintain proper filing systems and corporate records to support the MIBA's business continuity.
Manage and update MIBA’s website and other corporate information platforms.
Coordinate and organise Council, Committee, Working Group and General Meetings, ensuring efficient scheduling and sufficient flexibility to accommodate ad hoc meetings and engagements.
Prepare and compile meeting agendas, meeting papers, briefing materials, attendance list and support documentation.
Coordinate meeting logistics, including venue arrangements, refreshments and electronic or virtual meeting platforms where required.
Monitor and coordinate the Secretariat’s priorities, assignments and deliverables, ensuring timely follow-up on action items and the efficient flow of information.
Provide administrative support for MIBA’s luncheons, stakeholders’ engagements and other corporate events.
Provide administrative support for special projects and other initiatives as assigned by Management.
Undertake any other duties as may be assigned by Management.
Degree or Diploma in Business, Finance, Communications, or Management;
Minimum three (3) years relevant experience, preferably in the financial services ;
Excellent written and verbal communication skills in reports, presentations and briefs;
Strong interpersonal and stakeholder management skills, with the ability to build effective working relationships at all levels;
Highly organised with excellent administrative, planning and time management skills, and the ability to manage multiple assignments concurrentlywhile maintaining high level of accuracy and attention to detail;
Resourceful, self-motivated and able to work independently;
High level of integrity, professionalism and sound work ethics;
Proficient in MS Office and adept at using a wide range of office technologies, tools, and applications.
