Job summary
VTS Property Collection Sdn Bhd seeks an experienced AI and automation lead to assess processes, design an implementation roadmap and deliver scalable automation across finance, HR, sales, and construction domains.
The role focuses on integrating Power Platform, Power BI, and modern AI tools, establishing governance, and guiding multi-department projects to reduce manual work and improve reporting accuracy.
Qualifications
- Minimum 3–5 years of relevant experience in AI implementation, workflow automation, systems development or digital transformation.
- Practical knowledge of Microsoft Power Platform, Power BI, Microsoft 365, Make, Zapier, n8n or similar platforms.
- Familiarity with AI platforms, large language models, chatbots, document processing and API integration.
- Knowledge of databases, data management and system integration.
- Experience in property development, construction, project management, finance, CRM or ERP systems will be an added advantage.

- Develop an AI and automation implementation roadmap based on business priorities, cost savings and operational impact.
- Recommend suitable AI platforms, software and technology solutions.
- Prepare implementation proposals, budgets, timelines and expected outcomes for management approval.
- Establish company guidelines for the responsible and secure use of AI.
- Design and develop automated workflows using suitable platforms..
- Integrate workflows with the company’s existing systems.
- Automate repetitive tasks such as data entry, document preparation, approval routing, reminders, reporting and information consolidation.
- Develop management dashboards and automated reports.
- Test, document, deploy and maintain all automation solutions.
- Automate the collection, checking and processing of invoices, payment applications and supporting documents.
- Develop workflows for payment approvals, budget monitoring and management reporting.
- Assist in automating cash-flow forecasts, project cost tracking and financial-data consolidation.
- Develop alerts for overdue payments, budget variances and incomplete submissions.
- Integrate automation solutions with the company’s accounting system where technically feasible.
- Develop workflows for recruitment, candidate screening, interview scheduling and employee onboarding.
- Automate leave applications, claims, attendance records and internal HR approvals.
- Assist HR in preparing employee letters, forms, reports and standard documentation.
- Develop an internal AI knowledge assistant for company policies, procedures and employee enquiries.
- Develop systems for capturing, assigning and monitoring sales leads.
- Automate customer follow-ups, appointment reminders and sales-team notifications.
- Assist in implementing or improving customer relationship management systems.
- Develop automated sales reports, campaign-performance dashboards and customer databases.
- Support the preparation of AI-assisted marketing content, advertisements, presentations and sales materials.
- Develop lead-scoring and customer-segmentation solutions where suitable.
- Automate the tracking of authority submissions, approvals, permits and compliance deadlines.
- Develop systems to monitor project progress, key milestones, delays and outstanding actions.
- Automate reminders and reports for consultants, contractors and internal project teams.
- Develop structured systems for managing contracts, variation orders, progress claims, site records and correspondence.
- Assist departments in extracting and organising information from quotations, contracts, reports, drawings and other project documents.
- Develop management dashboards covering project progress, cost, sales, approvals and key risks.
- Develop AI-assisted systems to draft, review, classify and retrieve letters, reports, contracts and other company documents.
- Establish a central and searchable knowledge base for company information, policies, project records and standard operating procedures.
- Create reusable templates and AI assistants for common departmental tasks.
- Ensure proper document version control, access control and information security.
- Conduct practical AI and automation training for employees at different levels.
- Prepare user guides, standard operating procedures and training materials.
- Assist employees in adopting new systems and provide ongoing technical support.
- Monitor system usage and improve solutions based on user feedback.
- Promote responsible and productive use of AI throughout the company.
- Ensure that all AI and automation solutions comply with the company’s data-security and confidentiality requirements.
- Protect personal, financial, contractual, purchaser and project information.
- Review third-party AI platforms before company data is uploaded or integrated.
- Implement suitable access controls, approval processes, backup procedures and audit records.
- Ensure compliance with applicable personal-data protection requirements.
- Minimum [3–5] years of relevant experience in AI implementation, workflow automation, systems development or digital transformation.
- Proven experience developing and deploying business automation solutions.
- Practical knowledge of Microsoft Power Platform, Power BI, Microsoft 365, Make, Zapier, n8n or similar platforms.
