About the role
We are looking for a responsible, organised and detail-oriented After-Sales Admin & Administration Executive to join our team and support the company's daily after-sales, service and administrative operations.
You will work closely with the after-sales, service and workshop teams to ensure customer service records, job documentation, warranty claims, parts coordination and other administrative processes are handled accurately and efficiently.
Key responsibilities
- Handle daily after-sales administration and general office administrative tasks
- Assist the after-sales and service team with customer documentation and service-related paperwork
- Prepare and maintain job cards, service records, repair orders, invoices and other relevant documents
- Arrange and coordinate customer service appointments and workshop bookings
- Maintain accurate records of vehicle service history, repairs and maintenance
- Follow up with customers on service appointments, repair progress and vehicle collection
- Assist with warranty claim documentation, submission and follow-up
- Coordinate with technicians, service advisors, parts department, suppliers and other relevant parties
- Assist in checking parts availability and coordinating parts required for repairs and servicing
- Monitor outstanding repair jobs, pending parts and warranty cases
- Ensure all service, repair and warranty documents are properly filed and updated
- Assist with customer feedback and after-service follow-up when required
- Prepare after-sales, workshop and service reports for management when required
- Handle data entry, filing and general office administration
- Support the after-sales team and management with other administrative duties when required
About you
- Diploma/Degree in Business Administration, Automotive Management, Management or a related field is an advantage
- Previous experience in after-sales administration, service centre administration, automotive/motorcycle dealership or general administration is an advantage
- Fresh graduates are encouraged to apply
- Familiar with Microsoft Excel, Word and general computer applications
- Good attention to detail and able to handle documentation accurately
- Responsible, organised and able to work independently
- Good communication, coordination and follow-up skills
- Able to manage multiple tasks and work efficiently in a fast-paced environment
- Customer-service oriented with a positive attitude and willingness to learn
- Basic knowledge of motorcycles or automotive servicing is an advantage
- Ability to communicate in Mandarin is an advantage, as the role may involve communication with Mandarin-speaking customers, suppliers and business partners
