Administration Executive (2 Years Contract)

The Administration Executive (Uniform Shop) is responsible for supporting the daily operations and administration of the school uniform shop. This includes managing stock, sales, orders, and distribution of uniforms and related items, while ensuring smooth and efficient service for parents, students, and staff. The role also involves maintaining accurate records and ensuring the shop and storeroom are well organised.
Key Responsibilities:
- Conduct demand forecasting and inventory planning for the School’s uniform shop to ensure adequate stock availability.
- Oversee and continuously improve the end-to-end uniform shop operations, including stock planning, purchasing, storage, sales, and distribution processes.
- Manage the daily sales operations and distribution of school uniforms and related items.
- Ensure all daily sales transactions and stock counts are accurately reconciled with the inventory system.
- Monitor and manage payment transactions from parents, ensuring proper documentation and record keeping.
- Coordinate the ordering, receiving, and distribution of uniforms, name tags, and other miscellaneous school merchandise.
- Maintain cleanliness, organisation, and proper housekeeping of the uniform shop and storeroom at all times.
- Ensure stock is stored systematically and safely for efficient retrieval and inventory control.
- Ensure all documentation and filing systems are properly maintained and kept up to date.
- Assist in the coordination and support of school events and functions when required.
- Undertake any other ad-hoc duties and assignments as assigned by the line manager from time to time.
Requirements:
- Minimum Diploma or equivalent qualification in any field.
- Prior experience in administrative support or school administration will be an added advantage.
- Proficient in Microsoft Office and Google Workspace, including Word/Docs, Excel/Sheets, and Outlook/Gmail, with basic database management skills.
- Strong written and verbal communication skills.
- Mandarin-speaking candidates are preferred to effectively communicate with Mandarin-speaking parents and students.
- Good organisational skills with the ability to multitask and work independently.
- Detail-oriented, responsible, and able to maintain confidentiality when handling information.
