Job Summary:
The Administrative Assistant is responsible for providing administrative, operational, and office support to ensure the smooth and efficient daily functioning of the department. The role includes document management, office coordination, staff support, meeting arrangements, and liaison with internal departments.
Key Responsibilities
- Maintain departmental records, filing systems, and project trackers.
- Manage incoming and outgoing correspondence, memos, and document submissions.
- Monitor and replenish office supplies and stationery inventory.
- Coordinate office administration, facilities, and workplace arrangements.
- Assist with staff onboarding requirements, including laptops, access cards, and parking applications.
- Coordinate IT service requests, transport bookings, and other support services.
- Process and maintain employee administrative documentation, including training, leave, medical leave, and time slip records.
- Support departmental activities, events, and emergency evacuation exercises.
Qualifications
- Diploma or equivalent (Associate's or Bachelor's degree preferred).
- 2+ years of experience in an administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Canva.
- Excellent organizational and time-management skills.
- Strong verbal and written communication skills.
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving skills.
- Professional demeanor and a positive attitude.
- Experience with office management software (e.g., SAP, Oracle) is a plus.
