The Admin Officer will be responsible for supporting the day-to-day administrative and office operations of the company. The role involves coordinating office activities, maintaining proper documentation and records, supporting facility and workplace arrangements, coordinating vendors and services, and assisting various departments with general administrative requirements.
The ideal candidate should be organised, responsible, detail-oriented and able to manage multiple administrative tasks effectively. This position is suitable for a fresh graduate or candidate with at least one (1) year of relevant administrative experience who is willing to learn and grow in an administrative role.
Key Responsibilities1. General Administrative Support
- Manage and support day-to-day general administrative activities.
- Prepare, organise and maintain administrative documents, records and reports.
- Handle filing and documentation in both physical and electronic formats.
- Prepare basic letters, memos, notices, forms and other administrative documents.
- Monitor and maintain office supplies, stationery and other administrative items.
- Assist in maintaining proper records of company assets, equipment and office-related items.
- Support departments with general administrative requests when required.
2. Office & Facility Coordination
- Support the daily operation and upkeep of office facilities and common areas.
- Coordinate with internal departments and external service providers on facility-related matters.
- Follow up on maintenance, repair and service requests.
- Assist in coordinating cleaning, pest control, waste management and other facility-related services.
- Monitor office and facility requirements and report any issues to the relevant person in charge.
- Assist in ensuring that office facilities and common areas are properly maintained and presentable.
- Coordinate with vendors and service providers for administrative and facility-related matters.
- Request quotations and assist in preparing comparison tables for administrative purchases and services.
- Follow up on purchase orders, deliveries, invoices and service completion where required.
- Maintain proper records of vendor information, quotations, invoices and related documents.
- Assist in monitoring service agreements, contracts and expiry dates.
4. Meeting, Visitor & Event Support
- Assist in arranging meeting rooms, refreshments, equipment and other requirements for meetings.
- Coordinate visitor arrangements, including visitor registration, access and related administrative requirements.
- Support company events, employee activities and internal programmes.
- Assist in preparing venues, materials, refreshments and other logistical requirements for company activities.
- Coordinate with relevant departments to ensure smooth execution of meetings and events.
5. Travel & Accommodation Arrangement
- Assist in arranging accommodation, transportation and other travel-related requirements for employees, visitors and business guests.
- Coordinate hotel bookings, transportation arrangements and related administrative matters.
- Maintain proper records of travel and accommodation arrangements.
- Follow up with hotels, transport providers and other service providers when required.
6. Purchasing & Office Supplies
- Monitor office stationery, pantry supplies, cleaning supplies and other general administrative items.
- Prepare purchase requests and coordinate with the Purchasing Department for required items.
- Assist in checking received items against purchase requests or orders.
- Maintain proper records of administrative purchases and stock levels.
- Ensure essential office supplies are available to support daily operations.
7. Documentation & Record Management
- Maintain accurate and up-to-date administrative records and databases.
- Organise and archive documents according to company requirements.
- Ensure important documents are properly filed and easily retrievable.
- Assist in preparing administrative reports, summaries and tracking lists.
- Handle confidential company information and documents professionally.
8. Support for HR & Employee Administration
- Provide basic administrative support to the HR Department when required.
- Assist in coordinating employee-related activities, company announcements and internal programmes.
- Support administrative arrangements for new employees, such as workstation, access card, locker and other required facilities.
- Assist in preparing employee-related documents and forms when required.
- Support HR and other departments during employee engagement activities and company events.
9. Ad-hoc Duties
- Perform other administrative and operational duties as assigned by the HR Manager, HR Executive or Management.
- Provide administrative support to other departments when required.
- Undertake additional responsibilities to support the smooth and efficient operation of the company.
RequirementsEducation
- Diploma or Bachelor's Degree in Business Administration, Management, Office Management, Human Resource Management, or any related field.
Experience
- Fresh graduates are encouraged to apply.
- Minimum 1 year of working experience in administration, office management, coordination or a related field is preferred.
- Candidates with experience in a manufacturing environment will be an added advantage.
Skills & Knowledge
- Good knowledge of general office administration and documentation.
- Proficient in Microsoft Office, particularly Microsoft Word and Excel.
- Good organisational and time management skills.
- Good coordination and follow-up skills.
- Able to prepare basic reports, documents and administrative records.
- Good communication skills in English and Bahasa Malaysia.
- Able to communicate and coordinate effectively with internal departments, vendors and external parties.
