TTI Regional Consultancy is seeking an Administrative and Secretariat Support professional in Malaysia to assist governance meetings, prepare agendas, take minutes, and manage follow-ups for the CEO's Office.
You will coordinate cross-department documentation, liaise with external government agencies and partners, maintain compliance records, and draft briefings for senior management, while staying highly organized and able to multitask in a fast-paced environment.
Provide administrative and secretariat support for Management, Board, and committee meetings, including agenda preparation, minutes, and follow-ups.
Coordinate schedules, documentation, and correspondence for the CEO's Office.
Support record-keeping and documentation for governance and compliance purposes.
Assist in drafting correspondence, briefings, and written materials on behalf of the President or senior management.
Support liaison with external stakeholders, including government agencies, partners, donors, and sector organisations.
Coordinate follow-ups and communication flow between internal teams and external parties.
Assist in maintaining and administering internal policies, procedures, and governance documents.
Support compliance with regulatory, contractual, and organisational requirements, including PDPA-related administration.
Assist with preparation and tracking of submissions, declarations, and reports as required.
Provide coordination support across departments to track tasks, timelines, and follow-ups.
Support special projects, events, and initiatives under the CEO's Office.
Perform other duties as assigned by the Head of Administration & Liaison or senior management.
2–3 years of relevant working experience (Diploma/Degree holders).
Strong verbal and written skills with a focus on formal business writing.
Comfortable engaging and presenting to stakeholders at all levels of seniority.
Highly organized, detail-oriented, and proven ability to manage multiple tasks.
Ability to work independently with minimal supervision while being a strong team player.
High proficiency in Microsoft Office (Word, Excel, PowerPoint).
