Summary
If you enjoy connecting with people, staying organized, and making a meaningful impact from the first interaction, this role is for you. As a bilingual Intake Specialist, you’ll be the first point of contact for clients, helping them feel supported and informed. You’ll play a key role in coordinating communications, managing schedules, and preparing essential documents. This position is ideal for someone who thrives in a client-facing environment, communicates clearly, and brings a thoughtful, detail-oriented approach to every task.
• Monthly Compensation: 1,150 USD to 1,220 USD.
Responsibilities include, but are not limited to:
• Coordinating client intake for estate planning
• Managing phone calls and emails with professionalism and warmth
• Following up with clients to ensure smooth communication
• Scheduling appointments and maintaining calendars
• Preparing documents using templates
• Reaching out to potential clients and coordinating speaking engagements
• Conducting reference checks and data entry
• Supporting internal marketing efforts by researching collaboration opportunities via BNI chapters, LinkedIn, and other platforms
• Making outbound calls to potential clients through targeted outreach (not cold calling)
• Setting up negotiation calls with business owners and third parties
Key Skills, Traits and Values:
• Impeccable spoken and written English
• Strong attention to detail and organizational skills
• Confident and friendly phone presence
• Comfortable with outbound calls and working alongside a sales team
• Proactive, resourceful, and collaborative mindset
Requirements
• Minimum of 1 year of experience in client intake or customer service
• Sales background
• Experience in administrative or client-facing roles
• Ability to manage multiple tasks and prioritize effectively
• Must have a stable and verifiable internet connection
• Must own a reliable computer that meets strong specifications
• Must own a professional-quality headset
Softwares:
• Familiarity with calendaring and scheduling tools
• Document preparation using templates
• CRM or client intake platforms (preferred but not required)
Working Schedule: Monday to Friday, 8:00 AM – 5:00 PM EST
Timezone: Eastern Standard Time (EST), U.S.
Languages:
English, Spanish
