MAHLE in Ramos Arizpe, Mexico, is seeking a Management Assistant to support the Plant Manager and leadership team. The role focuses on efficient admin operations, calendar management, cross-functional coordination, and safeguarding confidential information.

You will organize executive meetings, prepare documentation, and follow up on action plans. You will also support KPI presentation and domestic/international travel arrangements, ensuring smooth information flow and strategic alignment.

Formación

  • Bachelor's degree in business administration or related field.
  • Advanced English proficiency.
  • Advanced proficiency in Microsoft Excel, PowerPoint, and Outlook.
  • Excellent organizational skills and ability to manage multiple priorities effectively.
  • Experience tracking and following up on action items, meetings, and projects.
  • Ability to handle confidential and sensitive information with discretion.
  • Strong verbal and written professional communication skills.

Responsabilidades

  • Manage and coordinate the Director's calendar, ensuring efficient scheduling of meetings, audits, and visits.
  • Organize and coordinate executive meetings, follow-up meetings, management reviews, and corporate events.
  • Prepare, maintain, and safeguard executive documentation, reports, presentations, meeting minutes, and correspondence.
  • Provide timely follow-up on agreements, commitments, and action plans from leadership meetings and customer visits.
  • Support collection, consolidation, and presentation of KPIs for management decisions.
  • Coordinate domestic and international travel logistics, including reservations and itineraries.
  • Act as a liaison between management and departments to facilitate communication and objectives.
  • Monitor communications from corporate offices, customers, and external orgs; distribute timely info to stakeholders.
  • Ensure handling of strategic, financial, and organizational information with confidentiality.
  • Provide administrative support for automotive industry customers and OEM-specific requirements.

Your Contribution

As a Management Assistant, you will play a critical role in supporting the Plant Manager and leadership team by ensuring efficient administrative operations, managing schedules, coordinating communications, and facilitating the execution of key business priorities. You will serve as a trusted partner to leadership, helping maintain organizational effectiveness, manage confidential information, coordinate meetings and events, and support cross-functional collaboration across the plant.



  • Manage and coordinate the Director's calendar, ensuring the efficient scheduling of meetings, audits, and visits from customers, suppliers, and corporate representatives.

  • Organize and coordinate executive meetings, follow-up meetings, management reviews, and corporate events.

  • Prepare, maintain, and safeguard executive documentation, reports, presentations, meeting minutes, and correspondence.

  • Provide timely follow-up on agreements, commitments, and action plans resulting from leadership meetings, audits, management reviews, and customer visits.

  • Support the collection, consolidation, and presentation of key performance indicators (KPIs) required by management for decision-making purposes.

  • Coordinate domestic and international travel logistics, including reservations, itineraries, expense reporting, and required documentation.

  • Act as a liaison between management and various departments across the organization to facilitate communication, information flow, and the achievement of strategic objectives.

  • Monitor and follow up on communications issued by corporate offices, customers, and external organizations, ensuring that relevant information is distributed in a timely manner to the appropriate stakeholders.

  • Ensure the proper handling of strategic, financial, commercial, and organizational information while maintaining strict confidentiality standards.

  • Provide administrative support to management in activities related to automotive industry customers, OEM-specific requirements, and the follow-up of strategic company projects.
