VALD is seeking a Contracts Admin professional to join the global team managing client contracts, quotes and renewals, and to support onboarding, invoicing and record keeping.

You will coordinate with Sales, Client Success and Finance, review client agreements, manage redlines, and maintain accurate data in NetSuite and other systems while delivering timely reports and responsive service to internal and external stakeholders.

Formación

  • Bilingual with strong English written and verbal skills.
  • LL.B. or Business Management degree.
  • Excellent communication and interpersonal skills.
  • Experience handling high volumes of legal/paralegal work.
  • Excellent attention to detail.

Responsabilidades

  • Prepare and process client contracts, quotes, orders, and invoicing requests.
  • Support Sales, Client Success, and Finance with contract administration and onboarding.
  • Review client agreements, manage redlines, and escalate non-standard terms.
  • Maintain accurate client, contract, and order data in NetSuite and other systems.
  • Produce reports and operational records to support business activities.

About the VALD Contracts Admin Team

As part of a truly global team, the Contracts Admin Team serves as the primary onboarding contact for contract processing and initial invoicing with all VALD’s clients worldwide. The team collaborates closely with sales teams, regional directors, the finance team, logistics staff, and Client Success to ensure a seamless sales process, in alignment with our overarching goal to ensure that our clients are well-supported in their adoption of VALD’s technologies into their core business functions.

What you will do
  • Prepare and process VALD's standard client contracts, quotes, orders, invoicing requests, and contract renewals, including data entry and record management.
  • Support the Sales, Client Success, and Finance teams with contract administration and client onboarding activities.
  • Assist with the review of client agreements and support contract negotiations by coordinating feedback, managing redlines, and escalating non-standard legal or commercial terms where required.
  • Maintain accurate client, contract, and order information within NetSuite and other business systems, ensuring all records and documentation are complete, accurate, and up to date.
  • Prepare and maintain reports and other operational records to support business activities and decision-making.
  • Respond to internal and external enquiries and provide administrative support to stakeholders across the business.
  • Build strong working relationships with internal teams and clients while supporting day-to-day commercial operations.
  • Undertake other general administration and operational tasks as required.
Is this you?
  • You are bilingual, with English as your second language, and possess excellent written and verbal communication skills.
  • Hold a Bachelor of Laws (LL.B.) or a degree in Business Management.
  • Excellent communication skills and interpersonal skills.
  • Prior experience in dealing with high volumes of legal and paralegal work.
  • Excellent attention to detail.
  • Demonstrated ability to form and maintain client partner relationships with both internal and external stakeholders to support key outcomes.
  • Prior experience using Microsoft Office 365 suite of products.
  • Ability to work proactively and manage competing tasks, including record keeping, data entry, invoicing and responding to emails and enquiries.
