Job summary

Al Shirawi Group in Kuwait City seeks a proactive Sales & Purchasing Coordinator to manage quotations, POs, and supplier coordination for Building Services products. You will align with Sales, Procurement, Warehouse, and Finance to ensure accurate orders, timely responses, and proper documentation.

The role requires a Mechanical Engineering or related degree, Kuwait visa, and experience in building services products.

Qualifications

• Bachelor's degree or diploma in Mechanical Engineering, HVAC, Building Services Engineering, or a related field.
• Valid Kuwait Transferrable Visa.
• Relevant experience in Building Services, HVAC, valves, insulation, instrumentation, or BSP products.
• Experience in technical/commercial quotation preparation and Purchase Order processing.
• Knowledge of project submittals, technical documentation, and product specifications.
• Good understanding of valves, copper fittings, insulation, gauges, and related building service products & accessories.
• Experience coordinating with manufacturers, suppliers, customers, Sales, Procurement, Warehouse, Logistics, and Finance teams.
• Proficiency in MS Office, particularly Excel and Word; Google Sheets with Oracle/SAP is an advantage.
• Strong verbal and written communication skills, with professional client interaction.
• Strong interpersonal and soft skills: active listening, teamwork, coordination, negotiation, and relationship management.
• Customer-service oriented with proactive approach to inquiries.
• Ability to understand customer needs and provide timely, accurate solutions.

Responsibilities

• Coordinate with Sales teams to understand customer requirements, project specifications, and material needs.
• Provide technical and commercial support for Building Services product inquiries.
• Coordinate with internal departments and suppliers to ensure timely responses to customer requirements.
• Prepare accurate and competitive quotations based on inquiries, project specifications, BOQs, and technical requirements.
• Obtain pricing, lead times, and technical information from manufacturers and suppliers.
• Maintain and update the project pipeline log, quotation status, and follow-up records.
• Ensure quotations are submitted within the required timelines.
• Review customer POs against quotations, specifications, quantities, pricing, delivery requirements, and terms.
• Identify discrepancies and coordinate with Sales/customers for clarification.
• Prepare and issue Order Acknowledgements after review.
• Prepare detailed Order Estimation Sheets and verify costs, margins, freight, and commercial elements.
• Obtain necessary approvals from Sales Manager before proceeding.
• Place purchase orders with manufacturers/suppliers and track production/delivery.
• Coordinate with warehouse/logistics for delivery and stock allocation.
• Track outstanding materials and resolve delivery issues.
• Create and maintain material/product codes; ensure traceability.
• Coordinate invoicing for customer POs and ensure accuracy.
• Maintain records of quotations, POs, orders, deliveries, and submittals.
• Prepare regular updates on status and actions.
