UNESCO in Trieste, Italy, seeks an experienced procurement specialist to support the ICTP Procurement Unit. The role covers direct contracting, market research, bid management, and contract negotiation to safeguard organizational interests.

Under the Senior Procurement Assistant, you will coordinate with multiple stakeholders, ensure compliance, and manage shipments and asset procurement as part of the unit’s duties.

Competenze

• Thorough knowledge of procurement rules and procedures.
• Excellent communication and negotiation skills with vendors and stakeholders.
• Ability to work independently on standard tasks while collaborating with colleagues at all levels.
• Strong organizational skills and attention to detail to manage multiple procurement processes.
• Knowledge of Microsoft Excel and ERP systems.
• Committed to transparency and fair competition.

Mansioni

• Carry out direct contracting and formal bidding below USD 150,000; support procurements above USD 150,000.
• Gather requirements from stakeholders; draft Terms of Reference; advise on procurement rules.
• Prepare Purchase Orders, RFQs and tender documents (ITBs and RFPs).
• Manage bid publication, clarification requests, registration and opening; partake in evaluation processes.
• Negotiate with vendors; issue standard contracts; ensure compliance with rules.
• Monitor bidding processes and produce managerial reports.
• Coordinate vendor performance evaluation and contract closure or termination.
• Coordinate shipment arrangements, tracking, customs clearance, and delivery.
• Support Budget & Finance in asset procurement and inventory recording.
