We are currently seeking a talented professional to join our all-star Admin Team as the new HR Administration Specialist. In this role, you will support the HR Admin team in all activities related to personnel administration, ensuring accuracy, compliance, and a smooth employee experience.

Responsibilities
  • Prepare contracts for employees (new hires, terminations, level changes, job role changes, etc.)

  • Organize, update, and maintain internal databases with accuracy and confidentiality

  • Input and manage data in the HR Software (new hires, resignations, approvers for time off, sick leave, etc.)

  • Oversee occupational safety and health activities, liaising with both internal and external stakeholders

  • Manage monthly meal ticket allocation, including counting and verifying correct distribution

  • Check and validate employee absences and supporting documentation on a monthly basis

  • Respond to employees’ HR-related queries with clarity and empathy

  • Prepare ad hoc reports and support on specific projects when needed

  • Contribute to the development of HR best practices aimed at improving payroll and administrative processes

  • Stay updated on labor law and regulatory changes, sharing relevant updates internally

Qualifications
  • Previous experience in HR Administration (1–2 years)

  • Strong interest in HR Admin topics and sound knowledge of Italian labor legislation

  • Fluency in both Italian and English

  • Exceptional attention to detail and organizational skills

  • Proficiency in Microsoft 365, especially Excel

  • Ability to manage sensitive data with discretion and confidentiality

  • Excellent communication skills and empathy, with the ability to build and maintain strong relationships both inside and outside the team

  • Proactive, open-minded, and eager to work in a multicultural environment

  • Knowledge of HRIS tools is a strong plus
