The role requires 2–5 years of HR experience, MBA/PGDM in HR or equivalent, and strong MS Excel/HRMS skills to coordinate payroll, attendance, and statutory requirements.

Job Description: Executive - HR

Reporting To: VP - Human Resources
Job Summary

We are seeking a proactive and detail-oriented Executive - HR to support the organization's Talent Acquisition, HR Operations, statutory compliance, employee documentation, onboarding, and administrative activities.
The ideal candidate will be responsible for managing the complete employee lifecycle, including recruitment, joining formalities, employee file management, PF and ESI coordination, attendance and payroll inputs, and general HR and administrative support.
Key Result Areas (KRAs) and Key Responsibilities
KRA 1: Talent Acquisition and Recruitment

Objective: To manage the recruitment process and ensure the timely fulfilment of manpower requirements.
Core Responsibilities:
  1. Coordinate with department heads to understand manpower requirements.
  2. Source suitable candidates through job portals, employee referrals, consultants, social media, and other recruitment channels.
  3. Screen candidate profiles and conduct initial telephonic interviews.
  4. Schedule and coordinate interviews with the concerned departments and management.
  5. Maintain candidate databases and recruitment trackers.
  6. Follow up with shortlisted candidates until final selection and joining.
  7. Coordinate salary discussions and communicate offer details to selected candidates.
  8. Prepare and issue offer letters after receiving the necessary approvals.
  9. Maintain recruitment records, candidate status reports, and joining trackers.
  10. Ensure the timely closure of approved manpower requirements.
KRA 2: Employee Onboarding and Joining Process

Objective: To ensure a smooth and professional onboarding experience for all new employees.
Core Responsibilities:
  1. Manage the complete joining process from candidate selection to employee onboarding.
  2. Collect and verify all required employee documents before or at the time of joining.
  3. Prepare and coordinate offer letters, appointment letters, and other joining documents.
  4. Create and maintain employee personal files and digital records.
  5. Coordinate with the concerned departments regarding employee joining requirements, including workstations, ID cards, email access, and other necessary arrangements.
  6. Conduct or coordinate employee induction and orientation programmes.
  7. Update employee details in the HRMS and other internal records.
  8. Maintain an updated employee master database.
  9. Ensure that all new employee documentation is completed and properly filed.
KRA 3: HR Operations, Documentation and Employee Records

Objective: To maintain accurate employee records and ensure the smooth functioning of day-to-day HR operations.
Core Responsibilities:
  1. Maintain complete and updated employee personal files.
  2. Ensure proper documentation of employee records, including educational certificates, identity documents, bank details, photographs, and statutory documents.
  3. Prepare HR-related letters, including confirmation letters, salary certificates, experience letters, transfer letters, and other employee communications.
  4. Maintain attendance, leave, overtime, and employee movement records.
  5. Coordinate and submit accurate monthly attendance and payroll inputs.
  6. Maintain employee master data and update changes related to designation, salary, department, location, and other employee information.
  7. Maintain proper filing and documentation of all HR-related records.
  8. Support employees with queries related to HR policies, attendance, salary, leave, PF, and ESI.
KRA 4: PF and ESI Coordination and Compliance

Objective: To ensure proper coordination and timely completion of PF and ESI-related activities.
Core Responsibilities:
  1. Coordinate the PF and ESI registration process for eligible employees.
  2. Collect and maintain the required documents for PF and ESI registration.
  3. Coordinate with PF and ESI consultants regarding employee registration, updates, corrections, and other statutory requirements.
  4. Follow up on UAN generation, activation, and employee-related PF matters.
  5. Coordinate ESI IP registration and corrections to employee or family details, wherever required.
  6. Assist employees with PF and ESI-related queries and documentation.
  7. Maintain proper records of PF and ESI registrations and statutory documents.
  8. Ensure the timely submission of required information to consultants and management.
  9. Follow up on employee transfers, exits, and other PF and ESI-related formalities.
  10. Support the organization in maintaining statutory compliance records.
KRA 5: HR and Administration Support

Objective: To support the smooth functioning of HR and administrative activities across the organization.
Core Responsibilities:
  1. Handle day-to-day HR and administrative activities.
  2. Coordinate with employees and department heads regarding HR and administration-related requirements.
  3. Maintain office and employee-related records.
  4. Coordinate employee travel, accommodation, and other administrative requirements, as assigned.
  5. Support the arrangement of employee engagement activities, celebrations, training programmes, and meetings.
  6. Maintain records of office assets and employee-issued items, wherever applicable.
  7. Coordinate with vendors and service providers for HR and administrative requirements.
  8. Support the implementation and communication of company policies and procedures.
  9. Assist management in preparing HR reports, headcount reports, recruitment reports, and other required MIS.
  10. Perform other HR and administrative responsibilities assigned by the management from time to time.
KRA 6: Employee Lifecycle and Exit Management

Objective: To ensure proper documentation and coordination throughout the employee lifecycle.
Core Responsibilities:
  1. Maintain employee records from joining until separation.
  2. Track probation completion and coordinate confirmation formalities.
  3. Maintain records related to employee transfers, promotions, salary revisions, and role changes.
  4. Coordinate resignation acceptance and exit formalities.
  5. Conduct or coordinate exit interviews, wherever required.
  6. Coordinate the collection of company assets and completion of the required clearance process.
  7. Coordinate with the Accounts Department and other concerned departments for Full and Final Settlement inputs.
  8. Prepare and issue relieving and experience letters after completion of the exit process.
  9. Update employee records following separation.
Key Performance Indicators (KPIs)
  • Timely closure of approved manpower requirements.
  • Effective candidate sourcing and interview coordination.
  • Good offer-to-joining conversion ratio.
  • 100% completion of new employee joining documentation.
  • Accurate and updated employee personal files and HR records.
  • Timely coordination of PF and ESI registration and employee-related requests.
  • Accurate submission of attendance and payroll inputs.
  • Timely completion of employee onboarding and induction.
  • Proper maintenance of HR reports, recruitment trackers, and employee databases.
  • Timely completion of assigned HR and administrative activities.
Required Skills and Experience
  • Experience: 2 to 5 years of experience in Human Resources and Administration.
  • Education: MBA / PGDM in Human Resources, M.Com, or a relevant degree.
  • Good knowledge of Talent Acquisition and recruitment processes.
  • Knowledge of employee onboarding and documentation.
  • Basic understanding of PF, ESI, payroll, attendance, and statutory compliance.
  • Good knowledge of MS Excel, MS Word, and HRMS systems.
  • Good communication and interpersonal skills.
  • Ability to coordinate with employees, candidates, consultants, vendors, and management.
  • Strong organisational, follow-up, and documentation skills.
Preferred Candidate Profile
  • Experience in recruitment and end-to-end employee onboarding.
  • Experience in maintaining employee files and HR documentation.
  • Knowledge of PF and ESI registration and employee-related processes.
  • Experience in handling attendance and payroll coordination.
  • Ability to independently manage day-to-day HR and administrative activities.
  • Experience in manufacturing, retail, building materials, or a similar industry will be an added advantage.
