Coordinator will be responsible for overseeing the end-to-end travel arrangements for the organization, ensuring seamless and cost-effective travel experiences for employees and management. This role will require close coordination with travel agencies, vendors, and internal teams, alongside managing travel-related logistics, documentation, and budgeting.
Book flights, accommodation, rental cars, and other transportation based on the needs and preferences of the traveler, by coordinating with the vendor and online booking tool. Research, compare, and negotiate travel packages to ensure the most cost-effective options.
Act as the main point of contact for travelers and travel arrangers, assisting with travel-related queries and concerns. Address travel disruptions such as flight cancellations, delays, and unexpected changes in itineraries.
Collaborate with departments, managers, or teams to understand travel needs and ensure proper alignment.
Ensure all travel documents (visas, tickets, insurance, etc.) are obtained and up to date.
Develop and maintain strong relationships with travel vendors to provide the best service quality and reliability.
Ensure that travel policies and procedures are followed, including budgeting guidelines, travel safety protocols, and company-specific policies.
Address any travel disruptions and emergencies to ensure travelers are prepared with necessary documentation and emergency contacts.
Look for ways to reduce travel costs without compromising service quality or convenience for travelers.
Maintain accurate records of travel bookings, receipts, and expenses for future reference and audits.
