Role & responsibilities
Key Responsibilities
1. Time Office & Attendance Management
- Manage daily attendance of employees and workmen through biometric/HRMS systems.
- Monitor missing punches, late coming, early leaving, absenteeism, and attendance discrepancies.
- Coordinate with department supervisors for attendance corrections and approvals.
- Maintain daily, weekly, and monthly attendance reports.
- Monitor shift-wise manpower and maintain shift/roster records.
- Manage weekly offs, holidays, shift changes, and employee movement records.
2. Overtime & Payroll Inputs
- Maintain and verify overtime (OT) records in coordination with department heads.
- Prepare monthly attendance, OT, LOP, leave, and other payroll inputs.
- Coordinate with Payroll for timely and accurate salary processing.
- Resolve employee queries related to attendance, OT, leave, and salary deductions.
3. Employee Onboarding
- Manage complete joining and onboarding formalities for new employees.
- Collect and verify joining documents as per company requirements.
- Coordinate pre-joining documentation and background verification.
- Create employee records and update employee information in the HRMS.
- Coordinate with departments for ID cards, uniforms/PPE, access cards, workstation, and other joining requirements.
- Conduct or coordinate new employee induction and orientation.
- Ensure smooth handover of new joiners to the concerned department.
4. Recruitment & Joining Coordination
- Coordinate with the recruitment team regarding selected candidates and joining dates.
- Follow up with candidates regarding documentation and joining formalities.
- Maintain joining tracker and onboarding MIS.
- Track candidates from offer release to joining.
- Coordinate with hiring managers and department heads for manpower requirements and joining plans.
5. Employee Records & HRMS
- Maintain accurate employee master data and personnel records.
- Update new joiners, transfers, promotions, resignations, and other employee movements in HRMS.
- Maintain physical and digital employee files.
- Ensure employee documentation is complete and properly maintained.
- Prepare HR MIS related to attendance, joining, manpower, and employee movements.
6. Employee Support
- Handle employee queries related to attendance, leave, shifts, OT, joining documentation, and HR processes.
- Coordinate with Production and other departments for employee-related issues.
- Support employee engagement and welfare activities at the plant.
7. Compliance & HR Documentation
- Maintain proper records related to attendance, working hours, overtime, leave, and employee documentation.
- Support compliance with applicable labour laws and company policies.
- Ensure proper documentation for audits and inspections.
- Maintain confidentiality of employee information.
Required Skills
- Strong knowledge of Time Office and HR Operations.
- Experience in employee onboarding and joining formalities.
- Knowledge of attendance, shift management, overtime, leave, and payroll inputs.
- Hands‑on experience with HRMS/biometric attendance systems.
- Good knowledge of MS Excel and HR MIS.
- Good communication and interpersonal skills.
- Strong coordination and documentation skills.
- Ability to work in a fast‑paced automobile/manufacturing plant environment.
Qualification
- Graduate in any discipline.
- MBA/PG Diploma in HR/Personnel Management will be an added advantage.
Preferred Candidate Profile
- 25 years of experience in Time Office, Plant HR, HR Operations, or similar roles.
- Candidates from automobile, auto‑component, engineering, or manufacturing industries preferred.
- Experience handling blue‑collar/workmen employees will be an advantage.
- Candidates having experience in both Time Office + Onboarding will be preferred.
