Qualifications

• 3–5 years of experience in Stores, Warehouse Operations, Logistics Coordination, ERP Transactions, or Supply Chain Operations.
• Graduate in Commerce, Supply Chain, Logistics, Business Administration, or related field.
• Hands-on experience with Oracle ERP is an added advantage.
• Good understanding of GRN processes, inventory transactions, invoice verification, and warehouse operations.
• Proficient in Microsoft Excel and MS Office applications.
• Strong attention to detail and accuracy.
• Good communication and coordination skills.
• Ability to work in a fast-paced environment and manage multiple tasks simultaneously.

Job Summary:

We are seeking a detail-oriented and proactive Executive to support our Supply Chain, Spares, and ERP Operations.

The role involves handling vendor invoices and documentation, ensuring accurate ERP transactions, coordinating with internal teams for system updates, and working closely with warehouse personnel to facilitate smooth material movement and dispatch operations.

Key Responsibilities:

• Receive, verify, and maintain inward vendor invoices and supporting documents.
• Perform invoice validation against Purchase Orders (PO), delivery documents, and contractual terms.
• Ensure completeness and accuracy of documentation before processing.
• Coordinate with vendors and internal stakeholders to resolve invoice discrepancies.

ERP & GRN Operations

• Timely creation and completion of Goods Receipt Notes (GRN) in the ERP system.
• Verify material receipts against purchase orders and delivery challans.
• Maintain accurate inventory and transaction records in ERP.
• Coordinate with project team, warehouse, and finance teams for ERP-related updates and issue resolution.
• Submission of documents to finance team on timely basis.

Dispatch & Inventory Coordination

• Issue dispatch instructions and dispatch details to warehouse and logistics teams.
• Process and monitor internal stock transfer requests between locations/warehouses.
• Ensure timely and accurate execution of stock transfers in ERP.
• Coordinate with warehouse teams for outbound shipments and material movements.

Cross-Functional Coordination

• Liaise with Procurement, Finance, Logistics, Warehouse, and Project teams to ensure smooth operational flow.
• Follow up on pending transactions, documentation, and system updates.
• Support inventory reconciliation and audit activities as required.

Desired Candidate Profile:

• Graduate in Commerce, Supply Chain, Logistics, Business Administration, or related field.
• 3–5 years of experience in Stores, Warehouse Operations, Logistics Coordination, ERP Transactions, or Supply Chain Operations.
• Hands-on experience with Oracle ERP is added advantage.
• Good understanding of GRN processes, inventory transactions, invoice verification, and warehouse operations.
