Job Summary:

The Store Executive is responsible for supporting the day-to-day stores and inventory operations for Bengaluru Airport Services Limited (BASL), ensuring the smooth receipt, storage, issuance, and tracking of materials required for lounge operations. The role plays a critical part in maintaining uninterrupted operations across Food & Beverage, Housekeeping, Engineering, Operations, and Administration departments.

The Store Executive ensures proper inventory control, accurate documentation, timely material issuance, adherence to FIFO/FEFO practices, and compliance with hygiene, safety, and airport operational standards. The role requires close coordination with vendors, procurement teams, internal departments, and finance to ensure operational efficiency and cost control within a 24/7 hospitality environment.

Key Responsibilities
1. Inventory Management & Stock Control:
  • Maintain accurate stock records for all materials, consumables, beverages, engineering items, housekeeping supplies, and operational inventory.
  • Monitor stock levels regularly and ensure timely replenishment to avoid stock shortages or operational disruptions.
  • Follow FIFO (First In First Out) and FEFO (First Expiry First Out) practices for all applicable items, especially food and beverage inventory.
  • Conduct routine physical stock verification and cycle counts to ensure inventory accuracy.
  • Identify slow-moving, non-moving, expired, damaged, or excess inventory and report the same to management.
  • Ensure proper storage, labeling, segregation, and stacking of materials in designated areas.
  • Maintain stock registers, bin cards, and ERP inventory records accurately.
2. Receiving & Material Inspection:
  • Verify all incoming materials against purchase orders, invoices, delivery challans, and quality specifications.
  • Coordinate with user departments during material receipt whenever required.
  • Ensure all received items meet BASL quality standards and report discrepancies, shortages, damages, or quality concerns immediately.
  • Ensure proper GRN (Goods Receipt Note) entries and timely system updates in ERP/software.
  • Coordinate with procurement and vendors regarding pending deliveries or replacement of rejected materials.
  • Monitor temperature-sensitive and perishable items during receiving and storage processes.
3. Material Issuance & Department Coordination:
  • Issue materials to departments based on approved requisitions and operational requirements.
  • Maintain proper documentation for all stock movements and material issuance.
  • Coordinate closely with Kitchen, Bar, Housekeeping, Engineering, Operations, and Administration teams for daily requirements.
  • Ensure emergency operational requirements are handled promptly in a 24/7 airport environment.
  • Track daily consumption patterns and highlight abnormal usage trends to supervisors.
4. Documentation & ERP Management:
  • Maintain accurate records of inward, outward, transfers, returns, and inventory adjustments.
  • Ensure all transactions are updated in ERP systems such as SAP, Oracle, Prologic, or other inventory management software used by BASL.
  • Prepare daily, weekly, and monthly inventory reports as required by management.
  • Support month-end closing activities, stock audits, reconciliation, and MIS reporting.
  • Maintain proper filing of invoices, delivery challans, GRNs, stock registers, and audit-related documents.
5. Compliance, Hygiene & Safety:
  • Ensure stores are maintained in a clean, organized, hygienic, and audit-ready condition at all times.
  • Follow food safety, hygiene, airport safety, and company compliance standards while handling inventory.
  • Ensure proper temperature maintenance for cold storage and perishable goods.
  • Adhere to safety procedures while handling heavy materials, chemicals, fragile items, and engineering consumables.
  • Support internal and external audit requirements by providing necessary documentation and stock records.
6. Vendor & Interdepartmental Coordination:
  • Coordinate with vendors for timely deliveries and pending materials.
  • Assist the procurement team in vendor follow-ups, emergency purchases, and material clarifications.
  • Build effective coordination with finance teams for invoice verification and documentation support.
  • Support operational departments during high occupancy, VIP movements, and special events.
Required Skills & Competencies:
  • Strong knowledge of stores operations, inventory control, and warehouse procedures.
  • Understanding of hospitality, hotel, airport lounge, or food & beverage inventory management practices.
  • Familiarity with FIFO/FEFO methods and stock reconciliation procedures.
  • Good analytical and numerical skills with attention to detail.
  • Ability to work in a fast-paced, operationally demanding 24/7 environment.
  • Strong coordination and communication skills.
  • Ability to handle multiple tasks and prioritize operational requirements effectively.
  • Good knowledge of MS Excel, inventory systems, and ERP software.
  • Basic understanding of food safety and hygiene standards.
