Job summary

Sapcon in Ludhiana, India, seeks a Dispatch & Logistics Specialist to convert sales orders into tax invoices, generate e-invoices and e-way bills, and prepare delivery documents with strict heat-number traceability. Responsibilities

• Convert confirmed sales orders into tax invoices in the ERP with zero errors.
• Generate e-invoices (IRN) and e-way bills; ensure validity periods for transit.
• Prepare and issue delivery challans, packing lists, and MTCs with traceability.
• Raise debit/credit notes for rate changes, shortages, and freight adjustments with approvals.
• Maintain an audit-ready document trail for every dispatch; both physical and digital.
• Plan daily dispatch schedules and coordinate with transporters for loading.

KEY RESPONSIBILITIES

• Convert confirmed sales orders into tax invoices in the ERP with zero errors on grade, section, quantity, rate, and GST treatment
• Generate e-invoices (IRN) and e-way bills; ensure validity periods cover transit and extend where required
• Prepare and issue delivery challans, packing lists, weighment slips and Mill Test Certificates (MTCs) with correct heat/coil traceability
• Raise debit and credit notes for rate revisions, shortages, rejections and freight adjustments, with proper approvals
• Maintain a clean, audit-ready document trail for every dispatch — physical and digital

Dispatch & Logistics

• Plan daily dispatch schedules against committed delivery dates and yard capacity
• Coordinate vehicle placement with transporters; verify vehicle suitability, capacity and documentation before loading
• Supervise loading — sequencing, weighment (tare/gross), lashing, tarpaulin and safe crane/magnet handling
• Drive truck turnaround time and control detention and demurrage costs
• Track vehicles in transit, flag delays proactively, and collect and close PODs
• Reconcile physical stock against system stock on a defined cycle; investigate and close every variance
• Receive inbound material from mills - GRN, quality check, transit damage and shortage claims
• Maintain material identification, stacking discipline, grade segregation and heat-number traceability
• Monitor ageing and non-moving stock; report end-cuts, off-cuts and scrap accurately
• Coordinate job work (cutting, slitting, shearing) where applicable and reconcile input vs output

Compliance, Safety & Reporting

• Ensure GST, e-way bill and statutory documentation compliance on every movement
• Enforce PPE discipline, safe material handling and contractor labour compliance in the yard
• Publish daily and monthly MIS: dispatch volume, pending orders, stock position, freight cost and TAT

QUALIFICATIONS

• Graduate in Commerce, Business, Logistics or Engineering
• 2–6 years in stockyard, warehouse, depot or plant dispatch operations - steel, metals, pipes, cement or building materials preferred
• Working knowledge of GST invoicing, e-invoicing (IRN) and e-way bill generation
• Hands-on ERP experience (SAP SD/MM, Oracle, Tally or equivalent) and solid Excel
• Comfort working out of a yard environment - outdoors, on your feet, alongside crane operators and loading crews

SKILLS & COMPETENCIES

• Familiarity with steel grades, sections and specifications (HR/CR coils, plates, structurals, TMT)
• Exposure to transporter negotiation and freight cost control
• Understanding of weighbridge operations and heat-number traceability
• Basic knowledge of yard safety and material handling standards
