Job Summary

We are looking for a detail-oriented and proactive Accounts Executive with 3-5 years of experience in US Payroll, Accounting, or Finance operations. The ideal candidate should have hands‑on experience in US payroll processing, a good understanding of Indian and US accounting practices, and practical knowledge of accounting and payroll tools such as QuickBooks and ADP.


The role will involve managing day‑to‑day accounting activities, US payroll processing, invoicing, timesheet validation, payment follow‑ups, financial data management, and reporting. The candidate should be comfortable working with international/US‑based processes and operating in a US shift environment.


Key Responsibilities:
  • US Payroll & Timesheet Management
  • Process and manage US payroll accurately and within defined timelines.
  • Review and validate employee timesheets, working hours, leave data, and payroll inputs.
  • Coordinate payroll‑related data and resolve discrepancies before payroll processing.
  • Maintain accurate payroll records and supporting documentation.
  • Work with payroll platforms such as ADP and other relevant systems.

Accounting & Financial Operations
  • Handle day‑to‑day accounting and finance activities for the organization.
  • Maintain and update financial records using QuickBooks and other accounting software.
  • Apply working knowledge of Indian and US accounting practices to daily transactions.
  • Assist with accounts receivable, accounts payable, revenue, expenses, and reconciliation activities.
  • Support month‑end closing and preparation of financial reports.
  • Ensure financial transactions and records are accurate, complete, and properly documented.

Invoicing & Payment Follow‑ups
  • Prepare, review, and process client invoices accurately and on time.
  • Validate billing information against timesheets, contracts, and other supporting documents.
  • Track outstanding invoices and conduct timely payment follow‑ups.
  • Maintain accurate records of receivables and payment status.
  • Coordinate with internal teams and clients regarding billing or payment‑related queries.

Reporting & Data Management
  • Prepare regular financial, payroll, billing, and operational reports.
  • Maintain and analyze data using Microsoft Excel, including formulas, data validation, sorting, filtering, and reporting.
  • Ensure proper documentation and systematic maintenance of financial and payroll records.
  • Assist management with financial and operational data whenever required.

Communication & Coordination
  • Manage professional communication through Microsoft Outlook.
  • Coordinate with internal teams, management, employees, and US‑based clients/stakeholders.
  • Respond to payroll, invoicing, accounting, and payment‑related queries in a timely manner.
  • Maintain confidentiality of payroll, financial, employee, and client information.

Compliance & Documentation
  • Ensure proper documentation and record‑keeping for audit, payroll, and accounting purposes.
  • Follow established internal processes and controls.
  • Maintain confidentiality, accuracy, and integrity of financial and payroll information.

Required Qualifications
  • Bachelors or Masters degree in Commerce B.Com / M.Com or equivalent.
  • Strong understanding of fundamental accounting and finance principles.
  • 35 years of relevant experience in US Payroll, Accounting, Finance, or related operations.
  • Prior experience working with US‑based clients or international accounting processes will be an advantage.

Required Skills & Competencies

Technical Skills
  • Hands‑on experience with QuickBooks or similar accounting software.
  • Working knowledge of US Payroll processing.
  • Familiarity with ADP Payroll or similar payroll platforms is preferred.
  • Strong proficiency in Microsoft Excel, including formulas, data handling, reconciliation, and reporting.
  • Good working knowledge of Microsoft Outlook and MS Office.
  • Understanding of Indian and US accounting concepts and practices.
