Role & responsibilities
Manage the day-to-day functioning of the corporate office infrastructure HVAC systems, electrical panels, UPS, lifts, fire-fighting systems, DG sets, plumbing, and other building utilities.
Implement preventive, predictive, and breakdown maintenance schedules in coordination with engineering teams and vendors.
Ensure minimal downtime through close monitoring of building management systems (BMS) and ensure timely repairs.
Oversee maintenance of office furniture, fixtures, lighting, signage, and aesthetic upkeep of premises.
Conduct periodic inspections of all technical installations and maintain maintenance logs for audit and compliance.
Supervise housekeeping, pantry, cafeteria, pest control, and horticulture equipment's ensuring maintenance and safety standards to prevent any hazard during use for a pharmaceutical environment.
Define and implement Standard Operating Procedures (SOPs) for equipment maintenance 52-week PPM schedule, electrical, mechanical and plumbing waste disposal,
Coordinate daily facility checklists, cleanliness audits, and monthly service quality reviews of all electrical equipment.
Liaise with cafeteria vendors for equipment maintenance, hygiene audits, and PPM schedules and breakdown maintenance.
Ensure compliance with all relevant statutory norms under Shops and Establishment Act, Fire Safety Act, Environmental Regulations, Pollution Control norms, and local municipal requirements.
Conduct and document safety audits, risk assessments, and mock drills in collaboration with HR and Safety teams.
Maintain up-to-date fire systems, extinguishers, alarms, and emergency lighting.
Promote a culture of safety by conducting awareness programs, signage placement, and training employees on emergency procedures.
Ensure availability and inspection of first aid kits, evacuation maps, and safety signage across all office areas.
Identify, evaluate, and onboard service providers for lifts, HVAC, STP, Electrical Panel, Transformer, DG set, UPS and battery bank maintenance, cafeteria equipment's.
Define Service Level Agreements (SLAs) and Key Performance Indicators (KPIs) for all Maintenance vendors.
Monitor performance through regular reviews and ensure contract renewals, compliance documentation, and payment processing.
Develop vendor evaluation scorecards and ensure periodic assessment to maintain service excellence.
Ensure adherence to company procurement policy and coordinate with the purchase team for vendor empanelment and audits.
Prepare and manage the annual OPEX and CAPEX budgets for the corporate office facility.
Control operational expenditure and ensure optimization in utilities, manpower, and maintenance consumables.
Monitor consumption trends of electricity, water, DG fuel, and other utilities, identifying and implementing cost-saving initiatives.
Drive energy conservation and sustainability projects such as LED retrofitting, water recycling, paper reduction, and digitalization initiatives. Present monthly MIS reports on cost, consumption, maintenance, and improvement initiatives.
Plan and execute space management activities, including seating layouts, workstation allocation, and internal relocations.
Coordinate with architects and contractors for office fit-outs, interior refurbishments, or expansion projects.
Maintain updated AutoCAD drawings, space utilization reports, and occupancy data.
Ensure ergonomic standards in workplace design and furniture maintenance and life cycle assessment for replacement.
