Job Description
1. Export & Import Logistics Operations
- Manage end-to-end export and import logistics for pharmaceutical formulations through Air and Sea modes.
- Coordinate with freight forwarders, shipping lines, airlines, and Custom House Agents (CHA) for timely shipment execution.
- Plan dispatch schedules based on production plans, customer requirements, and market demand.
- Ensure smooth movement of consignments while meeting delivery commitments.
2. Customs Documentation & Compliance
- Prepare, verify, and maintain export/import documentation including Commercial Invoice, Packing List, Shipping Bill, Bill of Lading (BL), Air Waybill (AWB), Certificate of Origin (COO), SDF, ARE-1, and other statutory documents.
- Coordinate customs clearance activities with CHA and regulatory authorities.
- Ensure compliance with DGFT, Customs, CDSCO, ADC, and other applicable regulations.
3. Regulatory & Pharma Compliance
- Manage Assistant Drug Controller (ADC) clearance for pharmaceutical exports and imports.
- Ensure compliance with GMP, GDP, temperature-controlled shipments, dangerous goods regulations, and international pharmaceutical logistics standards.
- Verify that shipments meet all quality, regulatory, and customer documentation requirements.
4. Shipment Planning & Tracking
- Schedule shipments as per customer purchase orders, tender timelines, and production availability.
- Track shipments from dispatch to final delivery and provide regular status updates to stakeholders.
- Maintain shipment records for audits, statutory compliance, and internal reference.
5. Freight Management & Cost Optimization
- Negotiate freight rates and service agreements with logistics partners.
- Monitor freight costs and identify opportunities for logistics optimization.
- Verify freight invoices and resolve billing discrepancies with vendors.
6. Export Incentives & EXIM Management
- Handle Advance Authorization, EPCG, Duty Drawback, RoDTEP, and other export incentive schemes.
- Coordinate with DGFT, Finance, and external consultants for timely filing and claim processing.
- Maintain documentation related to export benefits and regulatory compliance.
7. Internal Coordination & Reporting
- Collaborate with Production, Quality Assurance, Regulatory Affairs, Commercial, Finance, and Warehouse teams to ensure smooth dispatch operations.
- Prepare and present MIS reports covering shipment status, customs clearance, freight costs, export performance, and incentive claims.
- Ensure departmental SOPs are implemented, reviewed, and updated periodically.
