Job summary

Zodiac HR Consultants is seeking an Import & Export Executive for our client in Goregaon, Mumbai. The role oversees end-to-end import/export operations for the chemical division, ensuring timely procurement and shipment, while maintaining regulatory compliance and accurate documentation.

The candidate will coordinate with overseas suppliers, freight forwarders, and internal teams to support efficient logistics, negotiate costs, and optimize documentation processes for both imports and exports.

Qualifications

  • The candidate must have a degree in commerce or logistics and relevant export-import certification.
  • Experience with import/export documentation and regulatory compliance is essential.
  • Knowledge of DGFT, FEMA, GST and customs procedures is required.

Responsibilities

  • Coordinate end-to-end import documentation from PO to delivery at plant.
  • Manage export shipments from order confirmation to delivery.
  • Ensure compliance with customs, DGFT, FSSAI where applicable, and statutory requirements.
  • Maintain import/export documentation and assist with EPCG/RODTEP as applicable.
  • Coordinate with freight forwarders, customs brokers, CHA and transporters.
  • Collaborate with procurement, production, QA/QC, warehouse, and logistics teams.
  • Monitor shipment schedules and minimize demurrage/detention charges.

JOB Description Import & Export Executive
Department: Supply Chain / Commercial
Division: Chemical Division

Position Summary

The Import & Export Executive will be responsible for coordinating and managing end-to-end import and export operations for the Chemical Division of our client , engaged in chemical ,manufacturing Food Preservatives and Lubricant Additives. The role involves ensuring timely procurement of imported raw materials, seamless export of finished products, compliance with customs and international trade regulations, documentation accuracy, and coordination with internal departments and external agencies.

Key Responsibilities
Import Operations
  • Handle end-to-end import documentation from purchase order to final delivery at plant.
  • Coordinate with overseas suppliers, freight forwarders, shipping lines, customs brokers, CHA, and transporters.
  • Monitor shipment schedules and ensure timely clearance of imported raw materials.
  • Verify import documents
  • Ensure compliance with Customs, DGFT, FSSAI (where applicable), and other statutory requirements.
  • Track shipment status and communicate updates to procurement and production teams.
  • Coordinate customs clearance and minimize demurrage and detention charges.
Export Operations
  • Execute export shipments from order confirmation until delivery.
  • Coordinate with production, QA/QC, warehouse, and logistics for shipment readiness.
  • Prepare and verify export documentation including: Commercial Invoice ,Packing List,Shipping Bill ,Bill of Lading ,Certificate of Origin ,Certificate of Analysis (COA) ,MSDS ,Insurance Documents,Phytosanitary/Fumigation Certificates
  • Coordinate with freight forwarders for sea and air shipments.
  • Ensure timely dispatch as per customer delivery commitments.
Documentation & Compliance
  • Maintain complete import/export documentation as per company policies.
  • Ensure compliance with: Customs Act,DGFT regulations,Foreign Trade Policy,GST provisions,FEMA guidelines,Export Incentive Schemes,
Assist in obtaining EPCG, Advance Authorization, RoDTEP and other applicable export benefits.
  • Maintain statutory records for audits.
Logistics Coordination
  • Liaise with shipping lines, airlines, freight forwarders, transporters and warehouse teams.
  • Negotiate freight quotations and logistics costs.
  • Monitor container movement and delivery schedules.
  • Coordinate inland transportation from ports to factory and vice versa.
Commercial Coordination
  • Coordinate with Finance regarding: Letter of Credit (LC),Advance Payments,Bank Documentation ,Bill Negotiation,Bank Realization Certificate (BRC/e-BRC),Support timely vendor payments and customer documentation.
Inventory & Planning Support
  • Monitor imported raw material arrivals against production plans.
  • Coordinate with stores for receipt of imported materials.
  • Ensure uninterrupted availability of critical raw materials.
  • Assist in shipment planning to meet export schedules.
MIS & Reporting
  • Maintain shipment trackers.
  • Prepare weekly/monthly reports
Required Qualifications
  • Bachelor's Degree in Commerce, Business Administration, Logistics, Supply Chain, or related discipline.
  • Certification in Export-Import Management will be an added advantage.
Experience
  • 37 years of experience in Import & Export operations.
  • Experience in the Chemical, Food Ingredients, Specialty Chemicals, Petrochemicals, or Manufacturing industry preferred.
  • Knowledge of handling hazardous and non-hazardous chemical shipments is desirable.
Technical Skills
  • Strong knowledge of Import & Export documentation.
  • Familiarity with Customs clearance procedures.
  • Working knowledge of DGFT, FEMA, GST, and international trade regulations.
  • Experience with ERP systems (SAP preferred).
  • Good understanding of Incoterms (FOB, CIF, CFR, EXW, FCA, DDP, etc.).
  • Proficiency in Microsoft Excel and MS Office.
