About the Role
We are looking for a dynamic and highly experienced Senior HR Executive to take complete ownership of our core HR operations. This role is built for a true HR technologist and operations expert who possesses a flawless, inside-out understanding of Keka HRMS.
As a Senior HR Executive, you will act as the backbone of our employee lifecycle, managing everything from seamless onboarding to graceful exits. You will ensure our payroll runs without a hitch, our workplace culture remains vibrant, and our organization remains 100% compliant with Indian labor laws and IT industry standards. Key Responsibilities
1. Keka HRMS Mastery & Data Insights
- Act as the absolute Subject Matter Expert (SME) and primary administrator for our Keka HRMS platform.
- Flawlessly configure, update, and manage all Keka modules, including Leave & Attendance, Payroll, Performance Management, and Expense flows.
- Create and automate backend workflows and customized reports. Prepare weekly and monthly HR reports that surface workforce-related challenges in alignment with business priorities.
- Troubleshoot system glitches, adapt the platform to evolving company policies, and train staff on using the portal effectively.
2. End-to-End Employee Lifecycle Management
- Onboarding: Handle pre-joining and onboarding formalities. Generate offer letters, conduct thorough background verifications (BGV), set up IT assets, and execute engaging induction programs.
- Offboarding/Exits: Manage seamless exit formalities, conduct empathetic exit interviews, manage departmental clearances, and ensure accurate Full & Final (FnF) settlements.
3. Payroll, Compensation & Budgeting
- Manage end-to-end pre-payroll activities, ensuring 100% accuracy in leave, attendance, and loss of pay (LOP) data within Keka.
- Oversee salary structuring, tax declarations, and take charge of compensation planning.
- Propose and manage the overall HR budget, working closely with the founders to allocate sufficient budget for high-impact employee welfare and engagement activities.
- Coordinate with the Finance/Accounts team to process monthly payroll on time, resolving grievances promptly.
4. Performance Management & Team Leadership
- Oversee and manage a 360 performance appraisal system that drives high performance and continuous growth across the company.
- Mentor junior HR team members, conducting regular 1:1s and empowering the team to achieve more.
- Promote a results-driven culture while actively maintaining high team morale.
5. Employee Experience & Relations
- Interact with remote and in-office employees, maintaining a healthy balance and cohesive culture between the remote and in-person experience.
- Design and execute high-impact employee engagement initiatives, team-building activities, and workplace wellness programs tailored to IT professionals.
- Act as the first point of contact for employee grievances, resolving conflicts professionally, empathetically, and in strict adherence to company policies.
6. Statutory Compliance & IT Industry Standards
- Demonstrate comprehensive knowledge of Indian labor laws applicable to the IT sector (e.g., Shops and Establishments Act, Maternity Benefit Act, POSH).
- Ensure strict compliance and timely remittance of all statutory deductions (PF, ESIC, PT, TDS, and Gratuity).
- Stay updated on changing labor regulations and minimum wage revisions to advise management on risk mitigation.
7. Core HR Administration
- Draft, update, and enforce HR policies, employee handbooks, and standard operating procedures (SOPs), ensuring these processes are well-documented for the team.
- Maintain highly confidential employee records, organizational charts, and digital files securely.
Qualifications & Requirements
- Experience: 6 to 7 years of proven experience in HR Operations, preferably within the IT/Software Services industry.
- Keka Proficiency (Mandatory): Must have advanced, hands-on administrative experience with Keka HRMS. You should know how to configure policies from scratch and troubleshoot backend settings.
- Compliance Knowledge: Deep, practical understanding of Indian labor laws, statutory compliances (PF, ESI, PT), and payroll processing.
- Communication Skills: Excellent written and verbal communication skills; capable of drafting professional internal communications, policies, and managing vendor relations.
- Problem-Solving: High emotional intelligence, discretion with confidential information, and a proactive approach to conflict resolution.
- Education: Bachelor's or Master's degree in Human Resources, Business Administration, or a related field.
What Sets You Apart
- Previous experience independently implementing or migrating an organization to Keka HRMS.
- Strong data analysis skills using Excel/Google Sheets (VLOOKUP, Pivot tables) in conjunction with Keka data exports.
