We are seeking a highly organized and detail-oriented Sr. Associate - Finance & Operations to manage finance operations, payroll, compliance, employee lifecycle processes, vendor management, and business operations. The role is responsible for ensuring financial accuracy, timely reporting, regulatory compliance, smooth employee processes, and efficient day-to-day operational support.
Key Responsibilities
1. Finance Management
- Manage Accounts Payable (AP) and Accounts Receivable (AR).
- Prepare, track, and follow up on customer invoices and collections.
- Process vendor, SME, consultant, and employee payments within agreed timelines.
- Maintain accurate financial records, supporting documents, and reconciliations.
- Support budgeting, cash flow tracking, MIS reporting, and management dashboards.
- Maintain royalty data, vendor records, and finance reports.
- Support internal and external audits and maintain audit-ready documentation.
- Maintaining a profit and loss statement for each client project, and reporting the same to other managers;
- Maintaining accurate records of each client engagement on a project-by-project basis in our Opportunity Management Dashboards, track all the royalties, advances.
2. Payroll & Employee Benefits
- Process monthly payroll accurately and on time.
- Manage salary revisions, bonus calculations, reimbursements, and full and final settlements.
- Coordinate insurance, benefits, and policy administration.
- Maintain payroll records and ensure supporting documentation is complete.
- Resolve employee payroll and benefits-related queries within agreed timelines.
4. Compliance & Statutory Management
- Ensure compliance with applicable labor laws, company policies, and statutory requirements.
- Coordinate GST, TDS, PF, ESIC, and other statutory filings where applicable.
- Maintain POSH, employment, legal, and compliance documentation.
- Assist during audits and compliance reviews.
- Monitor regulatory changes and support policy updates as required.
- Coordinate with the Indian, CA, CS and US CPA and make sure that the bookkeeping and all the required statutory requirement are up to date
- Ensure US entity Trademark should up to date.
5. Vendor & Contract Management
- Manage vendor onboarding, documentation, and payment coordination.
- Coordinate contracts, SOWs, work orders, renewals, and subscription records.
- Track software subscriptions, licenses, renewals, usage, and costs.
- Liaise with vendors, consultants, insurance providers, SMEs, and business partners.
- Monitor contract terms, payment schedules, and vendor compliance.
6. Operations & Process Improvement
- Maintain operational trackers, dashboards, asset records, and subscription inventories.
- Support workflow improvements, automation, and process documentation.
- Coordinate across Finance, HR, Technology, Sales, and Operations teams.
- Support data-driven reporting for management decisions.
- Identify opportunities to improve operational efficiency and reduce manual work.
Required Qualifications
- Bachelor's/ Masters degree in Commerce, Finance, Accounting, Business Administration, or a related field.
- 5+ years of experience in Finance and Business Operations.
- Strong understanding of payroll, accounting, compliance, and vendor management.
- Strong Microsoft Excel skills, including Pivot Tables, VLOOKUP/XLOOKUP, and reporting dashboards.
- Experience with accounting, payroll, or CRM systems such as QuickBooks, Zoho, Tally, or similar tools.
- Excellent organizational, analytical, communication, and follow-up skills.
- A self-driven, self-motivated individual contributor who takes ownership of assigned responsibilities, works independently, and consistently delivers accurate results with minimal supervision.
