Job description

Position: Senior Export Executive - Export Documentation & Logistics (Pharma)

Role Purpose

To manage end-to-end export documentation, logistics coordination, cold-chain shipments, SAP transactions, customs compliance, and customer documentation requirements to ensure timely and compliant international dispatch of pharmaceutical products.

Key Responsibilities

Export Documentation & Compliance

• Prepare and review pre-shipment and post-shipment documents such as:
  • Commercial Invoice
  • Packing List
  • Airway Bill (AWB) Instructions
  • Shipper's Declaration
  • Certificate of Origin
  • Insurance Certificates
  • Letter of Credit (LC) documentation
• Arrange legalization and authentication of export documents as required by customers.
• Prepare country-specific documents such as:
  • AAIFTA Certificate for Thailand & Philippines
  • Inspection Certificate for Chile
  • Certificate of Origin and Insurance documents

Logistics & Cold Chain Management

• Handle temperature-sensitive pharmaceutical shipments, including 2 - 8 C and -20C shipments.
• Coordinate door-to-door cold-chain deliveries.
• Plan shipments and provide regular shipment forecasts to manufacturing plants and warehouses.
• Coordinate with freight forwarders, CHA, regulatory teams, warehouses, and customers for smooth execution.

SAP Operations (SD Module)

• Sales Order creation (EPO)
• Invoice generation and cancellation
• Outbound Delivery creation
• PGI processing
• Stock availability checks
• Indent creation
• Customer master creation and maintenance

Freight & Vendor Management

• Advance booking of shipments.
• Verification and processing of freight and courier invoices.
• Coordination with palletization vendors and passive packaging solution providers.

Customs & Export Benefits

• Verify shipping bill documentation and customs documents.
• Coordinate customs clearance through CHA.
• Support export incentive schemes and related documentation.

Customer & Regulatory Coordination

• Resolve customer shipment-related queries.
• Coordinate sample shipments with Regulatory Affairs.
• Ensure all customer documentation requirements are fulfilled before dispatch.

ECGC & Risk Management

• Apply ECGC cover for new customers.
• Submit monthly ECGC declarations.

Required Experience

• 8 - 10 years of experience in Export Documentation and International Logistics within the Pharmaceutical industry.
• Strong knowledge of cold-chain logistics and pharmaceutical export regulations.
• Hands-on experience with SAP SD Module.
• Good understanding of customs processes, shipping documentation, and international trade practices.
• Excellent coordination, communication, and stakeholder management skills.
