Position Summary
We are seeking a proactive and experienced Senior Executive - Transport to manage and optimize employee transportation operations for our Gurgaon facility. The incumbent will be responsible for ensuring safe, efficient, compliant, and cost-effective transportation services while coordinating with internal stakeholders, transport vendors, and employees to deliver a seamless commuting experience.
Key Responsibilities
Transport Operations Management
- Manage end-to-end employee transportation operations across multiple shifts.
- Oversee vehicle deployment, route planning, roster management, and scheduling to ensure timely employee movement.
- Monitor daily transport operations and resolve operational challenges proactively.
- Ensure transport services meet organizational requirements and service level agreements (SLAs).
Vendor & Stakeholder Management
- Coordinate and manage relationships with transport vendors, fleet operators, and service providers.
- Monitor vendor performance against agreed KPIs and contractual commitments.
- Act as the primary point of contact for all transport-related communications and escalations.
- Collaborate closely with HR, Administration, Facilities, Security, and Business teams to support operational requirements.
Compliance & Safety Management
- Ensure compliance with statutory regulations, company policies, and transportation guidelines.
- Monitor vehicle fitness certificates, insurance, permits, licenses, and other regulatory documentation.
- Ensure driver background verification, training, and adherence to safety standards.
- Coordinate incident reporting, investigations, and implementation of corrective actions.
- Support emergency response protocols and transport-related business continuity planning.
MIS, Reporting & Cost Control
- Prepare and maintain transport MIS dashboards, billing reports, utilization reports, and monthly operational reviews.
- Validate vendor invoices and ensure accurate billing reconciliation.
- Monitor transportation budgets, identify cost-saving opportunities, and control operational expenses.
- Analyze transportation data to improve route efficiency, utilization, and employee satisfaction.
Technology & Fleet Monitoring
- Manage GPS tracking systems, transport management platforms, and fleet monitoring tools.
- Track vehicle movement, route adherence, and service quality through technology-enabled solutions.
- Ensure proper utilization of transport software and reporting systems.
Audit & Continuous Improvement
- Support internal and external audits related to transportation operations.
- Maintain accurate records, documentation, and compliance reports.
- Drive process improvements to enhance safety, operational efficiency, and employee experience.
- Assist in planning transport solutions for business expansion, new locations, and additional operational shifts.
Required Qualifications
- Bachelor's degree in Business Administration, Logistics, Supply Chain, Operations, or related discipline.
- 4-7 years of experience in corporate transport management, fleet operations, administration, or facilities management.
- Experience managing employee transportation in BPO, IT, ITES, shared services, or corporate environments preferred.
- Strong knowledge of transport compliance, fleet management, and vendor management.
- Proficiency in MS Excel, MIS reporting, and transport management systems.
- Excellent communication, analytical, and stakeholder management skills.
- Ability to handle multiple priorities in a fast-paced environment.
