Job summary

Swiss Beauty Cosmetics Private Limited in Gurugram is seeking a hands-on Supply Chain Operations professional to manage day-to-day order processing, inventory movement, warehouse coordination, and logistics execution across multiple locations.

You will drive returns management, reconciliation, and timely closure of issues, while coordinating with E-commerce, Sales, Warehouse, Logistics, and Finance teams to ensure accurate and timely order fulfillment.

Qualifications

• Experience in end-to-end supply chain operations.
• Experience in ecommerce/FMCG/retail/D2C operations preferred.
• Strong Excel and data analysis skills.
• Familiarity with ERP implementations or ERP systems.

Responsibilities

• Manage end-to-end order processing from receipt to dispatch and delivery.
• Coordinate with E-commerce, Sales, Warehouse, Logistics and Finance for smooth execution.
• Monitor pending orders, cancellations, short supply and delivery issues.
• Ensure accurate order processing and timely resolution of exceptions.
• Monitor stock availability and movement; coordinate with warehouse for allocation and dispatch.
• Maintain inventory accuracy and investigate variances; support replenishment planning.
• Coordinate with warehouse and 3PL partners for timely dispatch and stock movement.
• Track inward/outward/GRN/POD and shipment-related activities; resolve logistics issues.
• Manage returns, RTO/RTV activities; coordinating with warehouse for return receipt and QC.
• Perform regular reconciliation of sales, dispatch, delivery, returns and inventory data; resolve mismatches.
• Prepare daily/weekly/monthly MIS and dashboards; track KPIs and data accuracy.
• Identify recurring issues; drive process improvements and SOP adherence.

Role Purpose

To manage day-to-day supply chain operations, ensuring smooth order processing, inventory movement, warehouse coordination, logistics execution, returns management, reconciliation, and timely closure of operational issues.

Key Responsibilities

1. Order & Order Management

• Manage end-to-end order processing from order receipt to dispatch and delivery.
• Coordinate with E-commerce, Sales, Warehouse, Logistics and Finance teams for smooth order execution.
• Monitor pending orders, cancellations, short supply, and delivery-related issues.
• Ensure accurate order processing and timely resolution of exceptions.

2. Inventory & Stock Management

• Monitor stock availability, inventory movement and ageing across locations/channels.
• Coordinate with warehouse teams for stock allocation, picking, packing and dispatch.
• Maintain inventory accuracy and investigate stock variances.
• Support stock forecasting and replenishment planning based on business requirements.

3. Warehouse & Logistics Operations

• Coordinate with warehouse and 3PL partners for timely dispatch, delivery, and stock movement.
• Monitor inward, outward, GRN, POD and shipment-related activities.
• Track delivery performance and resolve operational exceptions with logistics partners.
• Ensure required documentation is maintained for all movements.

4. Returns & Reverse Logistics

• Manage customer/partner returns, RTO and RTV activities.
• Coordinate with warehouse teams for return receiving, QC, segregation and system booking.
• Track pending returns, discrepancies, shortages, damages, and excess quantities.
• Coordinate with partners for required documents, PODs, invoices, return references, and closure.

5. Reconciliation & Commercial Closure

• Perform regular reconciliation of sales, dispatch, delivery, returns, and inventory data.
• Identify mismatches between ERP/system data and partner records.
• Follow up with internal and external stakeholders for resolution of open cases.
• Support Credit Note, Debit Note, claims and recovery-related activities.

6. MIS & Reporting

• Prepare daily/weekly/monthly MIS and operational dashboards.
• Track KPIs such as order fulfilment, fill rate, inventory accuracy, returns, RTO, pending GRN, delivery performance and reconciliation status.
• Analyse operational data and highlight key gaps, risks, and action points to management.
• Maintain accurate trackers and ensure timely data updates.

7. Process Improvement

• Identify recurring operational issues and work on corrective actions.
• Improve SOP adherence, documentation, and tracker management.
• Coordinate with cross-functional teams to streamline processes and reduce operational delays.
• Support automation and ERP/system improvements wherever required.

Required Skills

• Strong knowledge of Supply Chain and Operations processes.
• Good understanding of Order Management, Inventory, Warehouse and Logistics operations.
• Experience in Returns / Reverse Logistics and reconciliation.
• Strong Excel/MIS skills including Pivot Tables, VLOOKUP/XLOOKUP and data analysis.
• Working knowledge of ERP/SAP or other order/inventory management systems.
• Strong follow-up and stakeholder coordination skills.
• Good analytical and problem-solving ability.
• Ability to manage multiple activities and meet timelines.
• Good communication and documentation skills.

Preferred Experience

• Experience in E-commerce / FMCG / Consumer Goods / Retail / D2C operations.
• Exposure to marketplace operations and 3PL management will be an advantage.
• Experience in ERP-based order processing, inventory and reconciliation will be preferred.
