The Sales & Service Coordinator will be responsible for end-to-end sales administration, service coordination, commercial operations, and import/export logistics support. The role acts as a key interface between customers, the India sales/service team, the UK factory team, freight forwarders, banks, and finance teams.
Key Responsibilities:
- Process customer purchase orders and coordinate order booking in ERP/CRM systems.
- Prepare quotations, commercial offers, tender submissions, and sales documentation.
- Coordinate with service engineers and customers for installation, maintenance, calibration, and support activities.
- Generate invoices and submit through customer portals and designated channels.
- Track invoice approvals and follow up on collections and outstanding receivables.
- Maintain customer records, AMC contracts, work orders, and CRM documentation.
- Coordinate spare parts logistics and service execution activities.
- Provide regular updates on order, delivery, shipment, and service status.
- Track and circulate weekly order intake, sales forecast, and backlog reports.
- Coordinate with the UK factory team for order execution, shipment planning, and delivery schedules.
- Manage import/export documentation, customs paperwork, shipping documents, and logistics coordination.
- Liaise with freight forwarders, customs brokers, and logistics partners.
- Coordinate LC documentation, amendments, and execution with customers and banks.
- Manage Bank Guarantees (BGs), renewals, extensions, and tracking.
- Support commercial compliance, contract administration, and customer documentation requirements.
- Demonstrated ability and willingness to use AI tools to improve productivity, decision‑making, work quality, and to reduce costs. The successful candidate must be able to identify appropriate AI use cases and critically evaluate AI‑generated outputs
Qualifications & Experience:
- Graduate in Commerce, Business Administration, Management, Logistics, Supply Chain, or related field.
- 5-8 years of experience in sales coordination, service coordination, commercial operations, customer support, or import/export operations.
- Experience working with international factories/suppliers is preferred.
Preferred Skills:
- Strong communication and customer relationship skills.
- Proficiency in Microsoft Office, especially Excel, and ERP/CRM systems.
- Knowledge of Incoterms, international shipping, import/export procedures, and customs documentation.
- Strong understanding of commercial terms, sales contracts, purchase orders, invoicing, Letters of Credit (LCs), and Bank Guarantees (BGs).
- Experience with invoice submission through customer portals.
- Knowledge of payment follow‑ups and accounts receivable management.
- Excellent organizational and multitasking capabilities.
