Job summary

Metal Power Analytical is seeking a Sales Coordinator in Mumbai to support the inside sales team by handling quotations, proforma invoices, and order processing. You will coordinate dispatch with stores and logistics, ensuring timely fulfillment of customer orders and accurate record-keeping in HubSpot CRM.

The role requires 1–3 years of relevant experience, preferably in B2B or lab product environments, and strong English/Hindi communication.

Qualifications

• Graduate, preferably in Commerce or Science.
• 1 to 3 years of experience in sales coordination or related roles.

Responsibilities

• Prepare and send quotations and revised quotations based on inputs from the sales team using the correct price lists.
• Raise proforma invoices per payment terms in the purchase orders.
• Process confirmed orders and verify price, quantity, terms, and delivery details.
• Coordinate with stores, logistics and courier partners for timely dispatch and share tracking with customers.
• Follow up on payments and share outstanding statements as required.
• Coordinate with Technical Team for certificates, test reports and other documents.
• Maintain accurate customer, deal and order records in HubSpot CRM.
• Respond to routine customer queries on order status and documentation.
• Prepare periodic MIS reports on quotations, orders, dispatches and outstanding payments.

Role Summary

The Sales Coordinator will support the MPPL inside sales team by managing quotations, proforma invoices, order processing and dispatch coordination, ensuring smooth and timely execution of customer orders.

Key Responsibilities

1. Prepare and send quotations and revised quotations based on inputs from the sales team, applying the correct price list for end clients and distributors.


2. Raise proforma invoices as per the payment terms agreed in the customer purchase order.


3. Process confirmed orders and verify purchase orders for price, quantity, payment terms and delivery details.


4. Coordinate with stores, logistics and courier partners for timely dispatch, and share dispatch details and tracking information with customers.


5. Follow up with customers on payments as per agreed terms and share outstanding statements when required.


6. Coordinate with the Technical Team for certificates, test reports and other documents required by customers.


7. Maintain accurate customer, deal and order records in HubSpot CRM, including quotations, invoices and dispatch status.


8. Respond to routine customer queries on order status, documents and dispatch.


9. Prepare periodic MIS reports on quotations, orders, dispatches and outstanding payments.

Qualifications and Experience

1. Graduate, preferably in Commerce or Science.


2. 1 to 3 years of experience in sales coordination, sales support or back-office operations, preferably in a B2B or laboratory products environment.

Skills

1. Good written and verbal communication in English and Hindi.


2. Working knowledge of MS Excel and MS Word; familiarity with CRM software (HubSpot preferred).


3. Attention to detail, organisational skills and the ability to manage multiple orders at once.


4. Basic understanding of invoicing, payment terms and GST documentation.
