Job Description

We are looking for an experienced Purchase Manager to lead the procurement operations at Vibcare Pharma. In this role, you will manage end-to-end purchasing for our extensive PCD pharma portfolio, negotiate with third-party manufacturers, maintain target stock levels, and lead the purchase team to ensure smooth, cost-effective product availability.

Key Responsibilities

• Procurement Planning: Plan and execute purchasing strategies for all marketed products across PCD divisions to maintain uninterrupted supply and avoid stock-outs.
• Vendor Management: Identify, evaluate, and onboard third-party manufacturers; negotiate competitive rates, MOQs, payment terms, and delivery lead times.
• Purchase Orders & Tracking: Supervise generation of Purchase Orders (POs) and coordinate daily with manufacturers for artwork approvals, batch production, and dispatch schedules.
• Inventory & Stock Control: Establish and track reorder levels, safety stock, and buffer stock; monitor and minimize near-expiry stock and slow-moving inventory.
• Cost Optimization: Analyze price trends, negotiate raw and finished pack rates, and drive procurement cost savings while upholding strict quality benchmarks.
• Documentation & Compliance: Verify supplier documentation including COA, GST/HSN details, e-invoicing, e-way bills, batch/expiry details, and MRP/labelling standards prior to dispatch.
• Claims & Discrepancy Resolution: Manage shortages, transit damages, quality rejections, and coordinate with accounts for timely debit notes and vendor reconciliations.
• Team Leadership: Lead, train, and supervise purchase executives; assign daily tasks, monitor performance, and enforce standard operating procedures.
• Cross-Functional Coordination: Work closely with Sales, Marketing, Godown/Stores, and Accounts teams to prioritize focus products, new launches, and urgent dispatch orders.
• MIS & Management Reporting: Maintain comprehensive purchase MIS reports including OTIF delivery tracking, PO status, lead time analysis, and price variance for executive reviews.

Requirements

• Experience: 4-5 years of core procurement experience in a PCD pharma company or pharmaceutical marketing setup, with proven team-handling exposure.
• Education: Graduate in any stream; B.Pharm, BBA, or MBA (Supply Chain / Operations) preferred.
• Skills:
  • Extensive knowledge of PCD pharma procurement, third-party manufacturing, and vendor negotiations.
  • Strong working proficiency in Excel (Pivot tables, VLOOKUP/XLOOKUP, inventory formulas) and ERP systems.
  • Solid understanding of purchase documentation, GST/HSN codes, e-way bills, and inventory control.
  • Effective vendor management, negotiation, and cost-control capabilities.
  • Fluency in Hindi and English with strong cross-functional communication skills.
• High sense of accountability and proactive follow-up.
• Strong analytical mindset and detail orientation.
• Demonstrated leadership and crisis-handling abilities.
