Role & responsibilities :
1. Weekly purchasing
- Runs the Weekly Order Generator for each location (Hyderabad, Vijayawada, Vizag) and places each company's order on its fixed day, by noon.
- Orders on the system's numbers: target stock minus stock on hand minus stock already on order, rounded to pack size. Any deviation (new fleet account, seasonal spike, scheme) is written down with the reason.
- Refreshes sales, stock and pending-order data every week; enters every order into Focus so it shows as on order.
- Keeps the order calendar current: real lead times, minimum order and free-freight values, and MOQs for every company, confirmed with each area manager.
- Fast movers topped up weekly, slow movers fortnightly, on-demand items ordered only against a confirmed customer order, and non-moving items never reordered.
- Cummins (advance payment) bought tightly: small, frequent orders of proven fast movers only.
2. Inventory health
- Monthly: reviews dead, non-moving and overstock lists; runs the liquidation plan (company saleable-return quotas used in full every year, salesman incentives, swaps with other distributors, scrap as last resort).
- Quarterly: reclassifies all SKUs (ABC by value, FSN by how often they sell) and resets targets and safety stock.
- Plans inter-branch transfers so that each location stocks its own fast movers; slow and high-value items held at one hub with a 24-hour transfer promise.
- Evaluates every quarter-end slab or scheme offer with the Scheme Evaluator before agreeing, and keeps a written record of each decision. Buys extra stock for a slab only in fast movers that would be bought within 6-8 weeks anyway.
- Tracks supersessions and new part numbers from companies and keeps the Part Master updated with them.
3. Supplier follow-up (from head office)
- Tracks every purchase order until it is fully received: chases short supplies, delays and wrong supplies with the company, and keeps pending orders in Focus accurate.
- Measures each company's supply performance (order fill rate and real lead time) and uses it to update the order calendar and in discussions with area managers.
- Receiving itself is done by the warehouse teams. He checks during visits that it follows the standard (see section 4) and that shortage and damage claims are passed to Accounts for the Claims Register.
4. Warehouse visits and internal audits
- Visits warehouses on a fixed rhythm: Hyderabad weekly, Vijayawada fortnightly, Vizag monthly, plus unannounced visits.
- Runs surprise bin counts each visit (at least 30 random bins per location per month, weighted toward fast movers and high-value items) and reconciles them against Focus.
- Audits the dispatch process: picker, checker and dispatcher signatures on invoices, MRP on box matching MRP on invoice, LR and proof of delivery filed.
- Reviews the Stock-Error register and the weekly Saturday cycle counts; investigates repeat errors by bin, person and brand, and gets root causes fixed.
- Checks inward receiving: deliveries checked against the company invoice, entered in Focus lot-wise with that lot's MRP, binned within 24 hours, and claims raised within the window.
- Checks that inter-branch transfer notes reconcile at both ends, and that no stock moves without a document.
- Submits a short written audit report to the owner after each visit: what was checked, what was found, what was fixed, what needs a decision.
Preferred candidate profile
- 5-10 years in purchase, inventory or warehouse control, ideally in commercial vehicle or automotive aftermarket distribution.
- Knows CV parts and their numbering: can read part numbers, OEM cross-references and supersessions, and recognise genuine versus look-alike parts.
- Strong in Excel (lookups, pivots, filters) and comfortable with an ERP (Focus preferred; Tally or similar acceptable).
- Comfortable travelling across AP and Telangana; speaks Telugu and English.
- Firm and honest: will say no to a company rep pushing stock, and will report audit findings without fear or favour.
