Job description

Role & responsibilities:
1. Procurement & Purchase
  • Identify and source products, materials, packaging, and other items as per requirements.
  • Coordinate with local factories, manufacturers, and suppliers for procurement.
  • Obtain quotations and compare prices, quality, lead times, and payment terms.
  • Negotiate prices and commercial terms with vendors to achieve cost efficiency.
  • Raise and manage Purchase Orders (POs) after internal approvals.
  • Ensure purchases are made within approved budgets and timelines.
2. Vendor Management
  • Develop and maintain strong relationships with existing suppliers and factories.
  • Identify new vendors and evaluate their capabilities, pricing, quality, and reliability.
  • Follow up with vendors regularly regarding production and delivery schedules.
  • Resolve vendor-related issues concerning pricing, quality, delays, shortages, or discrepancies.
  • Maintain an updated database of approved vendors and supplier information.
3. Order & Delivery Management
  • Track purchase orders from placement through final delivery.
  • Ensure materials/products are delivered within the required timelines.
  • Coordinate with warehouse, production, merchandising, and accounts teams for smooth procurement.
  • Monitor pending orders and proactively highlight delays to management.
  • Verify quantities received against Purchase Orders and supplier invoices.
4. Quality & Compliance
  • Coordinate with factories/vendors to ensure products meet approved quality standards.
  • Work closely with the Quality and Production teams to address quality issues.
  • Arrange samples and approvals wherever required before bulk production.
  • Ensure vendors comply with agreed specifications and delivery standards.
5. Cost Control & Documentation
  • Maintain records of quotations, purchase orders, invoices, delivery details, and vendor communications.
  • Monitor purchase prices and identify opportunities for cost savings.
  • Maintain accurate procurement data and reports.
  • Coordinate with the Accounts team regarding invoices, payments, and vendor reconciliations.
  • Prepare regular purchase and pending-order reports for management.
Preferred candidate profile:
  • Bachelor's degree in Commerce, Business Administration, Supply Chain, Procurement, or a related field.
  • 2 - 4 years of experience in purchase/procurement, preferably in fashion, watches, accessories, retail, manufacturing, or e-commerce.
  • Strong negotiation and vendor-management skills.
  • Good knowledge of local suppliers and factories is preferred.
  • Strong follow-up and coordination abilities.
  • Ability to manage multiple tasks and meet deadlines.
