We are looking for an experienced Purchase Executive to manage end-to-end procurement activities for our software, hardware integration, and interactive kiosk manufacturing operations. The candidate will be responsible for vendor development, sourcing, commercial negotiation, purchase orders, material follow-up, cost optimization, and ensuring timely availability of materials.
Key Responsibilities
- Manage the complete procurement cycle from purchase requisition to material delivery.
- Source and procure IT hardware, electronic components, electrical/mechanical items, kiosk materials, peripherals, and general requirements.
- Identify, evaluate, negotiate with, and develop reliable vendors and suppliers.
- Obtain and compare quotations from multiple suppliers and negotiate price, quality, credit terms, warranty, and delivery schedules.
- Prepare and release Purchase Orders (POs) based on approved requirements.
- Follow up with vendors to ensure timely delivery as per project and production requirements.
- Coordinate with Production, Engineering, IT, Stores, Accounts, and other departments for procurement requirements.
- Coordinate with Stores/Production for material receipt, quantity verification, and quality issues.
- Handle shortages, damaged materials, replacements, returns, and warranty-related vendor issues.
- Monitor pending POs and ensure timely closure.
- Maintain updated vendor database, quotation records, PO records, invoices, and procurement documentation.
- Coordinate with Accounts for invoice verification, payment follow-up, and vendor reconciliation.
- Negotiate with existing and new vendors to achieve cost savings and better commercial terms.
- Identify alternative vendors and equivalent materials to reduce dependency and procurement risks.
- Monitor market prices and supplier trends for regularly purchased materials.
- Maintain proper procurement records and prepare Purchase MIS, pending PO reports, vendor comparison statements, and cost reports.
- Ensure procurement is carried out according to approved specifications, budgets, and company policies.

Qualification
- Any Graduate / Diploma in Procurement, Supply Chain, Commerce, Business Administration, Engineering, or a related field.
- 3-6 years of relevant experience in Purchase / Procurement.
- Experience in IT hardware, electronics, manufacturing, system integration, or engineering procurement will be an added advantage.
