Job summary

D'Art Private Limited is seeking a seasoned project coordinator to manage end-to-end retail branding and fit-out projects across India, ensuring scope, budget, and timeline adherence. You will lead pilot projects, coordinate with branches, vendors, field teams and clients, and prepare MoMs from client meetings.

Key responsibilities include BOQ validation, QC audits, SOP development, and cost-control processes. Travel across states is expected to support nationwide deployments.

Qualifications

• Diploma/Degree in Interior Design or related field preferred.
• Experience in interior design, retail branding, or related industry mandatory.
• Based in Delhi with willingness to travel to Kolkata and other states.
• Strong MS Excel skills for data analysis, MIS, BOQ validation, and cost tracking.
• Excellent coordination and stakeholder management abilities.

Responsibilities

• Plan and manage end-to-end retail branding and fit-out projects.

Job description

• Act as the Single Point of Contact (SPOC) for assigned clients.
• Understand client requirements and convert them into executable plans.
• Attend client meetings and prepare Minutes of Meeting (MoM).
• Manage client expectations and ensure SLA compliance.
• Resolve client escalations within agreed timelines.
• Present weekly and monthly project updates.

2. Project Planning & Execution

• Manage end-to-end retail branding, fit-out projects across India.
• Prepare project execution plans and deployment schedules.
• Coordinate with branches, vendors, field teams, QC teams, and clients.
• Ensure projects are completed within scope, budget, and timeline.
• Lead pilot projects and nationwide rollouts.

3. Smart BOQ & Cost Management

• Review and validate BOQs submitted by field teams.
• Verify quantities based on recce reports.
• Ensure compliance with approved rate cards and client specifications.
• Prevent quantity manipulation and scope deviations.
• Validate variation orders and commercial implications.
• Plan and monitor Pan India site surveys.
• Review measurements, photographs, and technical observations.
• Validate feasibility of branding and fit-out work.
• Coordinate BOQ revisions with branch teams.

5. Quality Assurance & Compliance

• Conduct quality audits for fabrication and installation.
• Ensure compliance with approved drawings, BOQs, and brand guidelines.
• Verify material specifications and workmanship.
• Monitor vendor productivity and quality.
• Resolve execution challenges.
• Lead QC Field Managers.
• Allocate daily and weekly tasks.
• Conduct performance reviews and coaching.
• Build high-performing project teams.
• Support hiring and training initiatives.

8. Operations Coordination

• Monitor execution timelines and resource utilization.
• Conduct weekly operations review meetings.
• Improve operational efficiency and project delivery.

9. Documentation & Project Control

• Ensure client compliance and audit readiness.

10. Process Improvement

• Develop and implement SOPs.
• Improve project workflows.
• Standardize BOQ and QC processes.
• Identify productivity improvement opportunities.

11. Commercial & Cost Control

• Review project budgets and cost estimates.
• Identify cost-saving opportunities.

12. Reporting & MIS Prepare:

• Weekly Operations Dashboard

13. Training & Knowledge Management

• Train vendors on execution SOPs.
• Develop training manuals and process documentation.
• Share best practices across branches.

REQUIREMENTS

• Education: Diploma/Degree in Interior Design, Architecture, Civil Engineering, or a related field is preferred.
• Relevant Experience: Prior experience in the interior design, retail fit-out, branding, or a related industry is mandatory.
• Location: The candidate will be based in Delhi.
• Travel Requirements: Must be comfortable with frequent outstation travel, including Kolkata and other states, for approximately 10 days or more per month.
• MS Excel Skills: Strong proficiency in MS Excel is essential, including data analysis, reporting, MIS preparation, BOQ validation, and cost tracking.
• Coordination Skills: Strong communication, stakeholder management, problem-solving, and project coordination skills are required.
