Job summary

Weekday AI is seeking an experienced Onboarding Manager – US Healthcare Implementations to lead end-to-end onboarding and implementation for US outpatient clinics across PT, OT, speech therapy, and chiropractic practices. The role requires deep knowledge of EMR/EHR, practice management, or RCM platforms and strong project management.

You will coordinate data migration, configure billing workflows, train clinical staff, and ensure successful go-lives while maintaining clear communication with US

Qualifications

• 4+ years onboarding/implementation experience in US healthcare tech.
• 2+ years independently managing end-to-end client implementations.
• Experience managing 15+ concurrent client projects.
• Strong knowledge of US EMR/EHR, PM, or RCM platforms.
• Experience with data migration, validation, reconciliation using Excel.
• Basic SQL knowledge for data analysis.
• Excellent written and spoken English with US clients.
• Familiar with Jira and PM tools (Asana, Monday.com, Smartsheet, Rocketlane, GUIDEcx).
• Experience with HubSpot or Salesforce CRM.

Responsibilities

• Apply knowledge of US medical billing cycles and CPT/ICD-10 coding.
• Conduct client training and support go-live and hypercare phases.
• Track milestones, risks, dependencies, issues, and actions with PM tools.
• Maintain documentation and client records; identify process improvements.

We are looking for an experiencedOnboarding Manager – US Healthcare Implementations to lead the end-to-end onboarding and implementation of US-based outpatient healthcare clinics across physical therapy (PT), occupational therapy (OT), speech therapy, and chiropractic practices.

The ideal candidate will have strong experience withUS healthcare EMR/EHR, practice management, or Revenue Cycle Management (RCM) platforms, along with proven project management capabilities, excellent client communication skills, and the ability to manage multiple implementations simultaneously.

Key Responsibilities

• Lead end-to-end onboarding and implementation of US-based outpatient healthcare clinics on EMR/EHR, practice management, billing, and RCM platforms.
• Manage approximately15 concurrent clinic implementations, ensuring timely delivery and successful go-live.
• Gather client requirements, define implementation plans, establish milestones, and coordinate activities with internal and external stakeholders.
• Oversee data migration, validation, reconciliation, and data quality checks using advanced Excel and basic SQL.
• Configure billing workflows, practice settings, and other system requirements based on clinic needs.
• Apply knowledge of the US medical billing cycle, including insurance eligibility verification, CPT/ICD-10 coding, claims submission (837), Electronic Remittance Advice (ERA/835), and denial management.
• Conduct client training sessions and ensure clinics are prepared for go-live.
• Coordinate go-live activities and provide post-implementation support during the hypercare phase.
• Track project milestones, risks, dependencies, issues, and action items using project management tools.
• Maintain clear and proactive communication with US-based clients throughout the implementation lifecycle.
• Collaborate with technical, product, billing, and support teams to resolve implementation challenges and escalations.
• Ensure a smooth handover from onboarding and implementation to ongoing operations.
• Maintain accurate implementation documentation, status reports, and client records.
• Identify opportunities to improve onboarding processes, implementation efficiency, and the overall client experience.

What Makes You a Great Fit

• 4–7 years of experiencein implementation management, project management, business analysis, or a related role, preferably within US healthcare technology.
• At least2 years of hands-on experience independently managing end-to-end client implementations.
• Proven ability to manage15 or more client projects simultaneouslywhile maintaining quality and delivery timelines.
• Strong understanding of US healthcareEMR/EHR, practice management, or RCM platforms.
• Good knowledge of US medical billing workflows, including eligibility verification, CPT/ICD-10 coding, 837 claims, ERA/835, and denial management.
• Experience with data migration, data validation, and reconciliation usingadvanced Excel.
• Basic SQL knowledge for data analysis, validation, and troubleshooting.
• Excellent written and verbal English communication skills, with confidence in managing US-based clients and stakeholders.
• Familiarity with Jira and project management tools such as Asana, Monday.com, Smartsheet, Rocketlane, or GUIDEcx.
• Experience using CRM platforms such as HubSpot or Salesforce.
• Strong project planning, organizational, problem-solving, and stakeholder management skills.
• Ability to multitask effectively, prioritize competing deadlines, and proactively resolve implementation issues.
• A strong sense of ownership, attention to detail, and commitment to client satisfaction.
• Willingness to work onsite in Pune and accommodate the required overlap with US business hours.
