Job summary

Cloudxtreme seeks a Messaging Specialist to lead PST ingestion, data mapping, and mailbox integrity validation, ensuring secure and auditable import of legacy email data. You will coordinate with US stakeholders and cross-functional teams to manage ingestion workflows, storage readiness, and compliance throughout the lifecycle of legacy data migrations.

• US stakeholder interaction required: ability to overlap US business hours for triage and status reviews.
• Advanced troubleshooting across Outlook client behavior and mailbox performance issues.

Responsibilities

• Manage end-to-end PST ingestion delivery, including intake controls, batching, scheduling, monitoring, and exception resolution.
• Execute PST ingestion to Azure Blob Storage, including secure upload, batching, monitoring, and retry handling.
• Coordinate with cloud/platform teams to ensure Azure storage readiness, access controls, encryption, and naming conventions.
• Produce and maintain blob ingestion manifests and perform completeness/integrity reconciliation post-upload.
• Troubleshoot Azure upload and access issues; drive resolution via runbooks and escalations.
• Perform PST analysis and remediation (corruption, large files, encryption) and document outcomes.
• Develop and maintain data mapping specifications and ensure adherence during execution.
• Execute mailbox integrity checks and sampling for fidelity, with root-cose and corrective actions.
• Coordinate with Security/InfoSec for secure handling and compliance (DLP, retention, legal holds).
• Produce stakeholder communications: daily/weekly status, metrics, risk tracking, and evidence for governance.
• Maintain runbooks, SOPs, and QA checklists; identify opportunities for automation.

Job Description: Messaging Specialist (PST Ingestion, Data Mapping & Mailbox Integrity)

Role overview

The Messaging Specialist is responsible for the technical execution and quality control of PST ingestion, data mapping, and mailbox integrity validation to ensure accurate, secure, and auditable import of legacy email data into target mailboxes and/or archives. The role requires strong cross-functional coordination and excellent communication skills, including regular interaction with US-based stakeholders and end users.

Key responsibilities

• Manage end-to-end PST ingestion delivery, including intake controls, eligibility checks, batching strategy, scheduling, monitoring, and exception resolution.
• Execute PST ingestion to Azure Blob Storage, including secure upload/transfer, batching, monitoring, and retry/error handling.
• Coordinate with cloud/platform teams to ensure Azure storage account/container readiness, access controls (least privilege), encryption requirements, and naming/path conventions.
• Produce and maintain Blob ingestion manifests (file list, sizes/checksums where applicable, timestamps, owner/mailbox identifiers) and perform completeness/integrity reconciliation post-upload.
• Troubleshoot Azure upload and access issues (permissions, throttling, network constraints) and drive resolution through documented runbooks/escalations.
• Perform PST analysis and remediation (e.g., corruption identification, oversized file handling, encryption/password constraints, duplicate risk management) and document outcomes.
• Develop and maintain data mapping specifications (source-to-target folder mapping, archive placement rules, metadata preservation requirements, conflict handling) and ensure adherence during execution.
• Execute mailbox integrity checks and completeness validation before and after ingestion, including item/folder reconciliation, sampling for fidelity (attachments, dates, senders/recipients), and variance reporting with root cause and corrective actions.
• Troubleshoot ingestion/tooling failures by analyzing logs and reports, addressing throttling constraints, resolving permission/access issues, and coordinating fixes with messaging engineering.
• Support user readiness and post-ingestion experience by resolving Outlook and mailbox issues (profile repair, OST rebuild, search/indexing, performance impacts) and providing clear guidance to users.
• Coordinate with Security/Information Security (InfoSec) to ensure secure handling, least-privilege access, and alignment with compliance requirements (e.g., DLP, retention, legal hold impacts as applicable).
• Produce stakeholder-ready communications: daily/weekly status, ingestion metrics, risk/issue tracking, and completion evidence aligned to project governance.
• Maintain operational documentation (runbooks, SOPs, QA checklists) and identify opportunities for standardization and automation to improve throughput and quality.

Required qualifications (Must-have)

• Proven experience supporting enterprise messaging initiatives with direct involvement in PST ingestion/import and migration-related validation.
• Experience supporting or operating Azure Blob Storage ingestion workflows (secure upload, container/path conventions, access controls) and performing post-upload validation.
• Strong understanding of Microsoft messaging concepts (mailboxes, archives, permissions, quotas, folder structures) and data quality verification methods.
• Demonstrated capability to produce audit-ready validation artifacts (reconciliations, exception logs, completion reports).
• Excellent written and verbal communication skills, including the ability to communicate complex technical topics clearly to non-technical audiences.
• US stakeholder interaction required: prior experience working with US-based business and technical teams, with ability to overlap US business hours for triage calls, status reviews, and incident resolution.
• Advanced troubleshooting skills across Outlook client behavior and mailbox access/performance issues.

Preferred qualifications

• Experience with Microsoft 365 / Exchange Online and hybrid messaging environments; familiarity with Exchange administration in migration contexts.
• PowerShell experience for reporting and repeatable operational checks.
• Exposure to compliance-driven messaging requirements (retention, eDiscovery considerations, legal hold impacts).
• Experience operating within structured governance (ticketing, change control, cutover planning, RAID tracking).
