Job description

1. Job Purpose

The Warehouse Supervisor is responsible for supervising day-to-day warehouse operations, ensuring accurate inventory management, safe material handling, timely receiving and dispatch, proper storage, and effective utilization of warehouse manpower and resources. The role ensures compliance with company procedures, quality standards, safety requirements, and inventory accuracy.

2. Key Responsibilities

• Supervise daily warehouse activities including receiving, unloading, inspection, put-away, storage, picking, packing, and dispatch.
• Ensure materials are stored in the correct locations and maintain proper bin and location discipline.
• Monitor inventory accuracy and coordinate regular cycle counts and physical stock verification.
• Ensure timely processing of GRN, material movements, transfers, returns, and dispatch documentation in ERP/SAP.
• Allocate daily tasks to warehouse staff and monitor productivity and completion of assigned activities.
• Ensure FIFO/FEFO principles are followed wherever applicable.
• Monitor pending orders and ensure timely picking and dispatch as per customer and business requirements.
• Coordinate with Purchase, Production, Planning, Quality, Service, Logistics, and Finance teams for smooth material flow.
• Investigate inventory discrepancies, shortages, damages, and misplaced materials and implement corrective actions.
• Maintain proper housekeeping, 5S standards, and safety practices across the warehouse.
• Ensure proper handling and storage of high-value, fragile, hazardous, or special materials as applicable.
• Monitor loading and unloading activities to prevent material damage and ensure safe handling.
• Maintain records related to stock movement, dispatch, inward material, damages, shortages, and warehouse performance.
• Train and guide warehouse operators and new employees on SOPs, safety requirements, and warehouse processes.
• Monitor attendance, discipline, productivity, and performance of warehouse manpower.
• Coordinate with transporters and logistics partners to ensure timely dispatch and delivery.
• Ensure compliance with internal audits, statutory requirements, and company policies.
• Identify opportunities for process improvement, space optimization, productivity improvement, and cost reduction.

4. Required Qualifications

• Bachelor's Degree or Diploma in Supply Chain Management, Logistics, Operations, Engineering, or a related field.
• Relevant warehouse, stores, logistics, or inventory management certification will be an added advantage.

5. Experience

• 37 years of experience in warehouse, stores, logistics, or inventory operations.
• Minimum 12 years of experience in a supervisory or team-handling role is preferred.
• Experience in a manufacturing, engineering, automotive, industrial machinery, or spare parts environment is preferred.

6. Required Skills & Competencies

• Strong knowledge of warehouse operations and inventory management.
• Knowledge of ERP systems; SAP experience is preferred.
• Understanding of GRN, material receipt, picking, packing, dispatch, stock transfer, and inventory reconciliation.
• Good knowledge of FIFO, FEFO, 5S, and warehouse safety practices.
• Ability to lead and manage warehouse manpower effectively.
• Strong problem-solving and decision-making skills.
• Good communication and coordination skills.
• Proficiency in MS Excel and basic reporting.
• Ability to work under pressure and manage multiple priorities.
• High level of accuracy, ownership, discipline, and accountability.

7. Authority & Accountability

• Assign and monitor daily work activities of warehouse personnel.
• Ensure compliance with approved warehouse SOPs and safety standards.
• Escalate inventory discrepancies, operational issues, and safety concerns to management.
• Recommend process improvements and corrective actions for warehouse performance.

8. Working Relationships

Internal: Production, Planning, Purchase, Quality, Finance, Service, Sales, and Operations teams.

External: Transporters, logistics partners, suppliers, and service providers.

9. Success Profile

The successful Warehouse Supervisor will demonstrate strong operational discipline, leadership, inventory accuracy, team coordination, and a continuous improvement mindset while ensuring safe, efficient, and timely warehouse operations.
