People Matters in India is seeking a dynamic Manager/Senior Manager (Event Operations) to lead end-to-end planning and execution of conferences, virtual and hybrid experiences. You will manage budgets, vendors, production, on-ground logistics, and coordinate with Sales, Client Servicing, Content, Marketing, and Design to deliver flawless events.

  • 4–8 years of experience in Event Operations, Conference Management, Event Production, Experiential Marketing, or related roles.
  • Proven experience managing end-to-end B2B events, conferences, roundtables, or corporate events.
  • Strong vendor management and negotiation skills.
  • Hands-on experience with event logistics, production, AV, venues, fabrication, branding, and attendee management.
  • Good understanding of event budgeting, cost control, and commercial management.
  • Strong project management and execution skills.

Responsibilities

  • Own end-to-end operational planning and execution of physical, virtual, and hybrid events.
  • Develop detailed event plans covering timelines, logistics, production, staffing, vendors, and budgets.
  • Coordinate with internal teams including Sales, Client Servicing, Content, Marketing, and Design.
  • Manage vendor relationships and ensure quality, timelines, and costs.
  • Lead on-ground event operations, including venue setup, registration, staging, branding, and attendee flow.
  • Track expenses, PO's, invoices, and vendor payments; identify cost-saving opportunities.
  • Ensure post-event closure, reconciliation, documentation, and reporting.

Role Overview

We are looking for a dynamic and detail-oriented Event Operations Manager/Assistant Manager to lead the

planning and execution of People Matters’ conferences and new experiences & Initiatives.

The role will be responsible for managing the end-to-end event operations lifecycle — from planning,

budgeting and vendor management to on-ground execution and post-event closure.

The ideal candidate will have hands‑on experience in managing B2B events, conferences, corporate events, or

large-scale experiences and should be comfortable working in a fast-paced, deadline-driven environment.

Key Responsibilities
Event Planning & Execution
  • Own the end-to-end operational planning and execution of physical, virtual, and hybrid events.
  • Develop detailed event plans covering timelines, logistics, production, staffing, vendors, and
  • Coordinate with internal teams including Sales, Client Servicing, Content, Marketing, and Design to
  • Ensure all event deliverables are executed as per agreed timelines, scope, and quality standards.
  • Manage multiple events and projects simultaneously.
  • Identify, evaluate, negotiate, and manage event vendors and service partners.
  • Manage production agencies, AV partners, venues, F&B, fabrication, branding, logistics, travel, and
  • other event suppliers.
  • Ensure vendor deliverables meet agreed quality, timelines, and commercial commitments.
  • Build a reliable and cost-effective vendor ecosystem.
Budget & Cost Management
  • Prepare and manage event budgets in line with approved commercial plans.
  • Track event expenses, purchase orders, invoices, and vendor payments.
  • Identify opportunities for cost optimisation without compromising the attendee or client experience.
  • Monitor event profitability and ensure operational decisions are aligned with business objectives.
On-Ground Operations & Experience
  • Lead on-ground event operations and ensure smooth execution across all touchpoints.
  • Manage venue setup, registration, stage and production, branding, seating, F&B, hospitality,
  • transportation, and attendee movement.
  • Coordinate with venue teams and vendors to resolve real-time operational challenges.
  • Ensure a high-quality experience for speakers, delegates, partners, and other stakeholders.
  • Take ownership of troubleshooting and crisis management during events.
Stakeholder & Cross-Functional Management
  • Work closely with internal stakeholders to understand event objectives and translate them into
  • operational plans.
  • Coordinate with speakers, delegates, partners, venues, vendors, and external agencies.
  • Maintain clear communication and timely updates across stakeholders.
  • Anticipate operational risks and proactively develop contingency plans.
Post-Event Closure & Reporting
  • Ensure timely post-event closure, including vendor reconciliation, documentation, and financial
  • settlements.
  • Conduct post-event reviews to identify learnings and improvement areas.
  • Track operational KPIs and event performance metrics.
  • Maintain event documentation, vendor databases, checklists, and standard operating processes.
