Job summary

OMRON in India (Chennai) seeks an experienced Administration & Facilities leader to oversee corporate services and site operations. You will manage facilities, vendor contracts, and workplace services to enable uninterrupted business activity.

The role covers expansion projects, stakeholder coordination, events, safety/compliance, and mentoring the admin team to drive efficiency and enhance the employee experience.

Qualifications

  • Minimum 10 years of experience in administration or facilities management.
  • Experience in budget development and financial management.
  • Excellent communication and problem-solving skills.
  • Knowledge of regulatory compliance and safety protocols.
  • Willingness for local and regional travel.
  • Graduate in any field; Bachelor's in business administration preferred.

Short Description
Job Responsibilities
  • 1. Administrative & Facility Operations (30%)
  • 1.1 Oversee day-to-day administrative operations to ensure efficient and uninterrupted business activities.
  • 1.2 Manage office facilities, including maintenance, housekeeping, security, transportation, and workplace services.
  • 1.3 Monitor vendor performance and manage service contracts to ensure quality and cost-effectiveness.
  • 1.4 Ensure optimal utilization and upkeep of office infrastructure, equipment, and employee amenities.
  • 1.5 Manage co-working office spaces and support workplace-related operational requirements.
  • 2. Projects, Infrastructure & Expansion Management (20%)
  • 2.1 Lead office setup, relocation, renovation, and expansion projects from planning through execution.
  • 2.2 Coordinate with internal stakeholders, landlords, contractors, consultants, and service providers for project delivery.
  • 2.3 Ensure projects are completed within approved timelines, budgets, and quality standards.
  • 2.4 Support workplace planning initiatives to meet current and future business requirements.
  • 3. Events & Employee Experience Management (15%)
  • 3.1 Plan, coordinate, and execute company events, employee engagement activities, and leadership meetings.
  • 3.2 Manage event logistics, vendor coordination, budgeting, and on-site execution.
  • 3.3 Support initiatives that enhance workplace experience and employee satisfaction.
  • 3.4 Ensure effective administration support for internal and external corporate events.
  • 4. Compliance, Safety & Risk Management (15%)
  • 4.1 Ensure compliance with applicable statutory, legal, and regulatory requirements related to administration and facilities.
  • 4.2 Implement and monitor workplace safety, security, and emergency response procedures.
  • 4.3 Conduct periodic audits and inspections to ensure adherence to company policies and standards.
  • 4.4 Manage risk mitigation measures related to facilities, infrastructure, and workplace operations.
  • 5. Leadership, Reporting & Continuous Improvement (20%)
  • 5.1 Lead, mentor, and develop the administration team to achieve departmental objectives.
  • 5.2 Set performance expectations, monitor progress, and provide coaching and support to team members.
  • 5.3 Prepare and present periodic reports on administrative operations, projects, budgets, and key initiatives.
  • 5.4 Develop and manage departmental budgets while identifying opportunities for cost optimization.
  • 5.5 Drive process improvement initiatives to enhance operational efficiency, service quality, and employee experience.
  • 5.6 Foster effective communication and collaboration with internal and external stakeholders.
Job Requirements
  • - Graduate in any field
  • - Bachelor’s degree in business administration is an added advantage.
