Vertvista Eco Solutions in Pune seeks a Project Coordinator for interior landscape and office campus works. You will manage multi-city sites, coordinate vendors, and ensure BOQ, approvals, and handover are completed.

The role requires strong Excel/PowerPoint skills, ability to read drawings (AutoCAD preferred), and clear written English; Marathi in Pune is a plus. Occasional weekend work with paid time off.

Qualifications

Responsabilités

• Manage project requirements from enquiry to handover with BOQ and client presentation.
• Obtain rates from vendors and keep costs within approved rates.
• Send plant pre-approval sheets and secure written approvals on species, sizes, planters and colours.
• Verify every PO against the approved BOQ and raise amendments quickly.
• On PO arrival, provide logistics and manpower plans and track delivery and installation.
• Brief site supervisors in writing and resolve issues promptly.
• Attend site meetings and circulate minutes the same day.
• Close each job with photos, handover documents, and AMC proposal; hand over to maintenance team.
• Update Zoho Projects and trackers daily; issue weekly status reports.

About Vertvista

Vertvista Eco Solutions is a biophilic-design and commercial landscaping company. We design, supply, install and maintain indoor plantscapes, planters, green walls and landscapes for corporate offices and IT campuses across India, and look after many of them under annual maintenance (AMC) contracts.

The role

You will handle projects for corporate clients spread across several cities. Most of the work is indoor plants and planters for office floors, along with outdoor landscaping and AMC. You will run the sites in your own city directly and coordinate sites in other cities through our local teams and vendors. You will work with our key account project manager and report to the Directors.

What you will do

• 1. Take each requirement from enquiry to handover. Study the brief, drawings and site photos, then prepare the BOQ and the client presentation with plant and planter options.
• 2. Get rates from vendors and nurseries in each city and keep costs within the approved rates.
• 3. Send plant pre-approval sheets and get written approval of species, sizes, planter size and colour before anything is ordered.
• 4. Check every purchase order against the approved BOQ (rates, quantities, transport, taxes and delivery terms) and get amendments raised quickly.
• 5. On the day a PO arrives, give logistics and the local team the material and manpower plan, then track every dispatch until it is delivered and installed.
• 6. Brief local supervisors in writing, follow up daily and resolve site issues the same day.
• 7. Attend site meetings with the client's facility and procurement teams and send minutes the same day.
• 8. Close each job: completion photos, handover documents and work completion certificate. Send the billing documents to Accounts, prepare the AMC proposal and hand the site over to the maintenance team.
• 9. Update Zoho Projects and the project trackers every day and send a weekly status report.

What you need

• 1. Hands-on experience coordinating or executing interior landscape, landscape or interior fit-out projects for corporate clients.
• 2. Experience handling several sites at the same time, including sites in other cities.
• 3. Strong MS Excel and PowerPoint. Able to read a layout drawing and take quantities; basic AutoCAD preferred.
• 4. Working knowledge of indoor and outdoor plants and planters, or the willingness to learn quickly if you come from fit-out.
• 5. Clear written English for client emails, Hindi, and the local language (Marathi in Pune, Telugu in Hyderabad).
• 6. Willing to travel to other cities when needed. Some deliveries happen on weekends; weekend days worked are given back as paid offs.

Good to have

• Client procurement portals such as Ariba, IT campus or corporate office projects, and experience handing sites over to an AMC team.
