Qualifications

Responsibilities

  • Daily Administrative Operations: Oversee all administrative functions to ensure office efficiency.
  • Facility Management: Manage housekeeping, pantry, and maintenance promptly.
  • Vendor and Inventory Management: Handle empanelment, procurement, and stock control.
  • Infrastructure Management: Address maintenance and repair of office equipment.
  • Scheduling and Coordination: Arrange meetings, travel, and team events.
  • Documentation and Reporting: Prepare records, invoices, service reports, and archives.
  • Budgeting Support: Assist budgeting for admin operations and monitor expenses.
  • Point of Contact: Liaise with internal and external stakeholders.
  • Event and Logistics Coordination: Plan company events and team activities.
  • Helpdesk and Staff Support: Manage helpdesk tickets and staff requests.
  • Vendor Management & Compliance: Ensure SLAs and vendor compliance.
  • Coordination for Senior Management: Schedule meetings and arrange travel for leadership.

Key Responsibilities:
  • Daily Administrative Operations: Oversee the smooth execution of all administrative functions to ensure the office operates efficiently and effectively.
  • Facility Management: Take full responsibility for managing office facilities, including housekeeping, pantry services, and ensuring that all repair and maintenance requirements are addressed promptly.
  • Vendor and Inventory Management: Handle vendor empanelment, monitor procurement processes, and ensure cost-effective purchasing. Efficiently manage inventory, track office supplies, and ensure that stock levels are maintained.
  • Infrastructure Management: Address infrastructure-related issues, such as maintenance and repair of office equipment, plumbing, leakage, etc. Oversee the renewal of annual maintenance contracts to ensure seamless operations.
  • Scheduling and Coordination: Assist with scheduling meetings, managing travel arrangements, and organizing events or team-building activities.
  • Documentation and Reporting: Prepare and maintain documents, reports, and official correspondence. Ensure that important records (invoices, service reports, agreements, etc.) filed and stored both physically and digitally (via Google Drive).
  • Budgeting Support: Assist in budgeting for administrative operations and track expenditures to ensure that expenses remain within the allocated budget.
  • Point of Contact: Serve as a key point of contact for both internal and external communications, facilitating the smooth flow of information.
  • Event and Logistics Coordination: Handle the planning and logistics for company events, meetings, conferences, and other employee engagement activities.
  • Helpdesk and Staff Support: Manage helpdesk tickets, assist with employee requests, and provide logistical support to staff and management.
  • Vendor Management & Compliance: Ensure compliance with vendor agreements, manage vendor relationships, and track service-level agreements (SLAs).
  • Coordination for Senior Management: Provide administrative assistance by scheduling meetings, coordinating travel and accommodations, and managing requests for the senior management team.
