Role & responsibilities
1. Office Maintenance & Upkeep:
- Ensure the good maintenance and upkeep of the corporate office, including handling repair and maintenance needs as they arise.
- Oversee office cleaning, and upkeep of office furniture, plants, washrooms, pantry, and supplies.
- Coordinate with building authorities to address facility-related issues and support managing employee engagement events.
2. Travel Desk Management:
- Oversee ticket booking (Air and Train, both Domestic & International) and hotel bookings for the Head Office(HO) and Branch Offices.
- Ensure bookings are made at optimal costs, with timely and accurate record-keeping.
3. Local Travel Arrangements:
- Arrange and book local travel (e.g., taxis) for employees, ensuring cost-efficiency and maintaining accurate records.
4. Courier Management:
- Manage both incoming and outgoing international and domestic courier services.
- Maintain accurate records and forward docket details to relevant individuals.
5. Vendor Management:
- Handle new vendor creation and prepare purchase/work orders with accuracy and timeliness.
- Oversee all vendor payments, including utilities, telephones, mobiles, travel, hotel expenses, etc.
6. Employee Essentials:
- Coordinate the preparation of ID cards, visiting cards, lanyards, and cardholders for employees.
- Update and distribute the company telephone directory accurately and promptly.
7. Petty Cash & Attendance:
- Manage petty cash for office needs.
- Coordinate attendance and salary release processes for contract-based peons in collaboration with the vendor.
8. International Roaming Activation:
- Manage the activation of international roaming for employees traveling overseas.
9. Administrative Data Management:
- Collect and organize administrative data from branch offices.
- b. Prepare and submit inputs for the Business Review Meetings (BRM).
10. Procurement of Office Supplies:
- Purchase office stationery, housekeeping, and pantry items cost-effectively.
- Maintain accurate records of all purchases.
11. Visitor & Conference Room Management:
- Welcome guests and visitors and arrange conference room bookings with necessary amenities as required.
12. Communication Management:
- Manage incoming and outgoing calls, directing them to the concerned individuals.
Preferred candidate profile
- Proven experience in an administrative or office management role and Front Desk.
- Strong organizational and multitasking abilities.
- Good communication skills (English and Hindi written and verbal) and attention to detail.
- Ability to handle confidential information with discretion.
- Proficiency in office software (e.g., MS Office).
