The candidate will manage vendor contracts, budgets, and staff, while coordinating with hospital management. A minimum six years in facilities management with healthcare exposure is required, preferably with CFM certification.

Qualifications

Responsibilities

• Oversee day-to-day facility operations including housekeeping, security, waste management, and utilities.
• Ensure safety standards and cleaning procedures are followed across the building.
• Maintain equipment and building provisions to meet health and safety requirements.
• Supervise facilities staff and coordinate with external contractors and vendors.
• Communicate timely information, escalations, and reports to management.

Key Responsibilities for the Facility Manager

Maintenance andRepairs: Ensuring that buildings and facilities areproperly maintained and in good working condition. This involves developing andimplementing preventive maintenance programs, scheduling repairs, andcoordinating with maintenancestaffor externalvendors.

Facility Operations: Managingday-to-dayoperationsof facility, including security, parkingareas, cleaning, waste management (as per the guidelines), and utilities. Thismay involve overseeing servicecontracts,managingserviceproviders,andmonitoringperformancetoensurecompliance with service level agreements.

SpaceManagement: Optimizingtheuseofspacewithinfacilities,includingallocation,layoutand arrangement. This involves assessingspace requirements, coordinating office moves or relocations, and ensuringefficient utilization of space.

Budgeting and CostControl: Developing and managing the facility budget,including expense forecasting, cost control, and expenditure tracking. Thisinvolves identifying cost-saving opportunities, negotiating contracts, andoptimizing facility-related expenses by working close with the inventory team.

Vendor Management: Selecting, contracting, and managing vendors and service providersfor facility-relatedservices, suchasmaintenance,cleaning, security, or landscaping acrossbranches.This includes monitoring vendor performance, resolving issues, and maintaininggood working relationships.

Assetmanagement: Maintenanceof AMC andCMC's as per thestipulated guidelines along with the proper record keeping and reportsubmission.

Training to thestaff: Giving training to the in-house and theoutsourced staff on the machines/equipment.ThisincludestheHKstaffandthesupervisor.Conductingbuildingroundsat set intervals and publishing thereports on time.

Housekeeping Inventory& Stock Management : Responsible forstandardization of cleaning materials, arranging the stock, handling stock andordering for eachmonth.

Staff Management& Coordination : Preparation of ROTA, monitoringday to day staff activities, dealing with performance issues, and planning fordeep cleaning as per the hospital schedule.

Health, Safety& Regulatory Compliance: Conduct regular safetyinspections, ensure proper maintenanceoffiresafetysystems,trainingstaffonsafetyprotocols,andmaintainingemergency preparednessplans, andensurebiomedicalwastedisposalpracticesfollowapplicableguidelines.

Documentation&Reporting: maintenancelogs,servicerecords,facilityinspectionsand repairs and prepare the monthly reports to the Management

RequiredSkillsand Qualifications

• Experience:Minimumof six yearsofprovenexperienceasafacilitymanager preferablyin healthcare, hospitals, or large institutions.
• TechnicalKnowledge:UnderstandingofUnderstandingofelectrical,plumbing,and mechanicalsystems
