JOB DESCRIPTION
Position: Facility Manager
A. Facility Operations
- Manage the day-to-day operations of the assigned residential/commercial/mixed-use property.
- Ensure smooth functioning of all common areas, building services, amenities, and utilities.
- Monitor housekeeping, security, landscaping, pest control, waste management, and other facility services.
- Conduct regular inspections of the property and identify maintenance and operational issues.
- Ensure timely resolution of complaints and service requests from residents, tenants, occupants, and clients.
- Maintain high standards of cleanliness, hygiene, appearance, and overall facility upkeep.
B. Engineering & Maintenance
- Oversee preventive and corrective maintenance of MEP and building infrastructure.
- Monitor the operation and maintenance of:
- DG Sets
- Electrical systems
- HVAC systems
- Lifts/elevators
- Pumps and water systems
- STP/WTP
- Fire-fighting and fire alarm systems
- Plumbing and drainage systems
- Building management systems, where applicable
- Ensure preventive maintenance schedules are prepared and followed.
- Coordinate with technical teams and AMC/service providers for breakdowns and repairs.
- Maintain equipment history, maintenance records, and asset registers.
C. Vendor & Contractor Management
- Manage facility management vendors, contractors, and service agencies.
- Ensure vendors deliver services as per agreed SLA/KPI and contractual terms.
- Monitor manpower deployment, attendance, productivity, and performance.
- Verify vendor bills and supporting documents before submission for approval.
- Coordinate vendor quotations, comparative statements, work orders, and service contracts.
- Conduct periodic performance reviews of vendors and recommend corrective actions where required.
D. Safety, Security & Compliance
- Ensure compliance with applicable statutory and regulatory requirements.
- Coordinate fire and life-safety inspections, drills, and emergency preparedness.
- Ensure all required licenses, certificates, AMC documents, inspection reports, and statutory records are maintained.
- Coordinate with security teams to ensure proper access control, visitor management, CCTV monitoring, and incident reporting.
- Develop and implement emergency response procedures.
- Ensure compliance with health, safety, environmental, and building regulations.
E. Budget & Cost Control
- Prepare and monitor the annual facility management budget.
- Control operating expenses without compromising service quality.
- Monitor utility consumption including electricity, water, diesel, and other resources.
- Identify opportunities for energy conservation and operational cost reduction.
- Review vendor invoices, contracts, and service costs.
- Maintain appropriate records for operating expenses and facility-related expenditures.
F. Customer / Resident / Tenant Relations
- Act as the primary point of contact for facility-related concerns.
- Handle complaints and service requests professionally and within defined timelines.
- Coordinate with residents, tenants, commercial occupants, and other stakeholders.
- Conduct regular meetings and feedback sessions, where required.
- Ensure a high level of customer satisfaction and service quality.
G. Team Management
- Supervise facility, housekeeping, security, engineering, and other operational teams.
- Prepare manpower deployment and duty rosters.
- Conduct regular team briefings and performance reviews.
- Identify training requirements and arrange necessary training programs.
- Promote discipline, teamwork, professional conduct, and service orientation.
