Job summary

Dassault Systèmes invites an experienced Facilities Executive to join our Pune office in Maharashtra. The role focuses on daily facilities operations, maintenance coordination for HVAC, electrical, and plumbing, and ensuring a safe, productive workplace.

You will oversee vendor coordination, asset management, regulatory compliance, and energy-efficient practices while working with cross-functional teams to minimize downtime and improve service quality.

Qualifications

  • 7–10 years of experience in Facilities Management, Real Estate, or Corporate Workplace Operations.
  • Strong knowledge of HVAC, electrical, plumbing, DG and UPS.
  • Experience in vendor coordination, contract management, and service delivery.
  • Familiarity with asset management, facility documentation, and audits.
  • Understanding of ISO 50001/14001/45001 is preferred.
  • Proficiency in MS Office and facility management tools.

Responsibilities

  • Support day-to-day facilities operations to ensure a safe, efficient workplace.
  • Coordinate preventive/corrective maintenance for building systems (HVAC, electrical, plumbing).
  • Monitor facility performance and coordinate with vendors for timely resolution.
  • Assist in asset records maintenance and documentation for audits.
  • Coordinate with internal teams and service providers for uninterrupted operations.
  • Manage vendor performance, SLAs, and invoice verification.
  • Support energy-efficient operations and sustainability initiatives.

Role Description & Responsibilities:
Facilities Operations
  • Support the day-to-day operations and maintenance of office facilities to ensure a safe, efficient, and productive workplace.
  • Coordinate preventive and corrective maintenance activities for building systems, including HVAC, electrical, plumbing, and other critical infrastructure.
  • Monitor the performance of facility systems and coordinate with vendors for timely issue resolution.
  • Ensure optimum utilization of utilities and infrastructure while maintaining operational efficiency.
  • Assist in maintaining facility assets and ensuring proper documentation of asset records.
  • Coordinate with internal teams and external service providers to ensure uninterrupted facility operations.
Vendor Management
  • Coordinate and supervise facility service vendors including housekeeping, security, HVAC, electrical, and maintenance contractors.
  • Monitor vendor performance against agreed service levels (SLAs) and report deviations.
  • Verify service completion and support invoice certification for vendor payments.
  • Ensure timely availability of maintenance materials and coordinate procurement requirements.
  • HVAC & Building Maintenance
  • Monitor HVAC systems to ensure they operate within organizational comfort standards.
  • Coordinate preventive maintenance schedules for HVAC and other critical equipment.
  • Track equipment performance and report issues requiring corrective actions.
  • Support energy-efficient operations and recommend improvements wherever applicable.
Compliance & Safety
  • Ensure compliance with statutory requirements, safety regulations, and company policies.
  • Maintain facility-related records and documentation required for audits and inspections.
  • Coordinate with internal and external audit teams and ensure timely closure of observations.
  • Support implementation of ISO standards and sustainability initiatives.
Space & Asset Management
  • Assist in office space planning, workstation allocation, and facility moves.
  • Maintain inventory and lifecycle records of facility assets.
  • Support infrastructure modifications and office renovation activities as required.
Workplace Experience
  • Ensure a clean, safe, and comfortable workplace environment for employees.
  • Coordinate employee facility requests and ensure timely resolution.
  • Support workplace initiatives that enhance employee experience.
Stakeholder Coordination
  • Work closely with internal stakeholders to understand facility requirements and provide timely support.
  • Coordinate with cross-functional teams during office events, infrastructure upgrades, and business requirements.
  • Provide regular updates on maintenance activities and operational issues.
Qualifications

Experience: 7–10 years of experience in Facilities Management, Real Estate, or Corporate Workplace Operations.

Required Skills
  • Good understanding of HVAC systems, electrical, plumbing, DG, UPS, and building maintenance.
  • Experience in managing preventive and breakdown maintenance.
  • Knowledge of statutory compliance and safety requirements.
  • Experience in vendor coordination and contract management.
  • Familiarity with asset management and facility documentation.
  • Working knowledge of energy conservation and sustainability initiatives.
  • Understanding of ISO standards (ISO 50001/ISO 14001/ISO 45001) is preferred.
  • Proficiency in MS Office and facility management tools.
